For more than 108 years, The Costumer has helped bring theatre to life. We rent and sell costumes to schools, community theatres, universities, and individuals throughout the United States and Canada. We're looking for a dependable, detail-oriented Business Office Manager who enjoys keeping a business running smoothly and takes pride in delivering exceptional customer service.
Position Overview
This role is ideal for an experienced office manager or bookkeeper who enjoys variety and ownership. You'll oversee the day-to-day financial and administrative functions of the business, ensuring invoices are processed accurately, customer accounts stay current, purchase orders are properly managed, and our office operations remain organized and efficient.
Success in this position requires excellent organizational skills, outstanding attention to detail, and strong experience using QuickBooks Online. Because many of our customers are schools and nonprofit organizations, experience working with purchase orders and government or educational customers is highly preferred.
What You'll Do
Manage day-to-day bookkeeping in QuickBooks Online
Process accounts payable, including vendor invoices and payments
Manage accounts receivable, customer invoicing, payment posting, and collections
Reconcile bank accounts and credit card statements
Prepare documentation for month-end close, partnering with our fractional controller
Prepare and file multi-state sales tax returns
Track customer purchase orders and ensure required documentation is received before orders ship
Support customer account questions and contract administration
Prepare bank deposits and maintain organized financial documentation
Assist with bid submissions, sole-source letters, and administrative support for the sales team
Support general office operations, including mail, scheduling, and administrative coordination
Work collaboratively with the President, department leaders, and outside accounting and HR partners
Required
3+ years of experience in office management, bookkeeping, accounting, or a similar business office role
Proficiency with QuickBooks Online
Experience managing accounts payable, accounts receivable, reconciliations, and month-end processes
Experience preparing and filing multi-state sales tax returns
Experience working with purchase orders, especially for schools, municipalities, or nonprofit organizations
Excellent written and verbal communication skills
Exceptional organizational skills and attention to detail
Preferred
Experience supporting retail, rental, or e-commerce businesses
Familiarity with Shopify, Amazon, Etsy, or similar sales platforms
Experience with ADP Workforce Now
Associate's or Bachelor's degree in Accounting, Business, Finance, or a related field

Schedule & Location
Part-time (20–25 hours per week)
Hybrid schedule with approximately two days per week in our Schenectady office

Compensation
$25–$30 per hour, based on experience.
