Job Description

Position Title: Business Office Administrative Assistant

Department: Business Office

Reports to: Chief School Business Official/Chief Financial Officer

Rate: $18.50-$21.50/hr.

Summary

The Business Office Administrative Assistant will assist with bi-weekly processing of accounts payable and other general business office duties. This includes receiving and reviewing invoices, matching them to purchase orders, coding them to the general ledger, obtaining the necessary approvals for processing, and preparing the A/P check run. This position will provide support to each school building in preparing purchase orders and ensuring proper general ledger accounting. This position will organize and dispose of business department and school records. This position will monitor and audit schoolwide inventory. Must be detail-oriented and deadline-driven with strong organizational, written, and oral communication skills. Must maintain a high level of confidentiality, professionalism, integrity, and trust.

Essential Job Function and Responsibilities

  • Assure all invoices have been approved for payment and coded to the appropriate account
  • Assist with processing check runs for accounts payable
  • Correspond with vendors and building secretaries with occasional travel to district buildings
  • Manage and audit districtwide inventory
  • Respond to inquiries from a variety of sources (staff, auditors, Administration) for the purpose of providing direction and clarification
  • Manage record retention
  • Maintain and order office supplies

Qualification Requirements

  • High School diploma or equivalent, Associate's degree in Accounting, Finance, Business or related field preferred
  • Familiarity with Illinois school district accounting a plus
  • Experience with use of Windows and Microsoft Office and computerized accounting systems
  • Experience with Google applications a plus
  • Attentiveness to detail

Work Schedule

248 days per year, 7.5 hours per day

Hourly Commensurate with experience
