Job Description:

We are seeking a highly organized and proactive Business Operations Manager to support a team of senior leaders, including Directors, GVPs, and SVPs, in managing financial operations, budget reporting, and business planning activities. This individual will serve as a central point of coordination across multiple leaders and organizations, ensuring financial information, supporting documentation, and reporting deliverables are accurate, complete, and delivered on time.

The ideal candidate thrives in a fast-paced environment with competing priorities and numerous stakeholders. They possess exceptional organizational skills, strong financial acumen, advanced Excel capabilities, and a demonstrated ability to drive work forward through persistent follow-up and stakeholder engagement.

A critical component of this role is identifying opportunities to streamline reporting, budgeting, and operational processes through the use of AI tools, with preference for experience leveraging Claude (or Kiro) to improve productivity, automate repetitive work, and enhance decision-making.

Key Responsibilities

  • Partner directly with Directors, GVPs, and SVPs to organize, manage, and maintain budget-related information across multiple business areas.
  • Coordinate collection, validation, and consolidation of financial data, supporting documentation, budget inputs, invoices, purchase orders, and reporting requirements.
  • Develop recurring budget reports, executive summaries, and financial updates tailored to individual leadership stakeholders.
  • Track key financial milestones, deliverables, and deadlines, ensuring leadership teams provide required information on time.
  • Establish and maintain structure around financial planning, reporting, and operational processes.
  • Drive cross-functional coordination among stakeholders to resolve discrepancies, close reporting gaps, and maintain data accuracy.
  • Translate detailed financial information into concise, executive-ready insights and recommendations.
  • Identify opportunities to improve efficiency through process optimization and AI-enabled workflows.
  • Leverage AI tools, including Claude and other generative AI platforms, to streamline reporting, documentation, analysis, and business operations workflows.
  • Independently manage multiple competing priorities while maintaining a high level of accuracy and attention to detail.

Required Qualifications

  • 5+ years of experience in Business Operations, Financial Operations, Business Analysis, Program Management, or a related field.
  • Experience supporting senior executives and managing deliverables across multiple stakeholders and organizations.
  • Demonstrated experience coordinating budgets, financial planning activities, forecasting processes, or operational finance functions.
  • Advanced Microsoft Excel skills, including complex formulas, pivot tables, reporting, and data analysis.
  • Strong organizational, communication, and stakeholder management skills.
  • Proven ability to drive actions to completion through follow-up, accountability, and cross-functional coordination.
  • Experience developing executive-level reports, summaries, dashboards, and business updates.
  • Ability to manage multiple priorities with minimal supervision.

Preferred Qualifications

  • Experience supporting Director, VP, GVP, or SVP leadership teams.
  • Experience with financial reporting, budget management, purchase orders, and invoice processes.
  • Experience improving operational processes and implementing scalable business workflows.
  • Hands-on experience using AI tools to improve productivity and business operations.
  • Experience with Claude preferred; Kiro or similar AI platforms acceptable.
