Position: Business Analyst (SharePoint)
Location: 200 Arlington St., Chelsea, MA 02150
Work Arrangement: Hybrid – currently 1 day per week onsite
Duration: 12 months, with option to extend
Hours: 40 hours/week


Position Summary
DOR is migrating files currently stored on network file shares to Microsoft SharePoint Online and OneDrive. A&F IT is seeking an experienced SharePoint Business Analyst to assess the business and application impact of this migration and help determine SharePoint models that meet DOR's business, functional, security, and operational requirements.
The selected Business Analyst will work closely with DOR and A&F IT business units, subject matter experts, technical teams, and project stakeholders to understand current-state processes, document requirements and use cases, analyze file-share usage and permissions, and support the development of appropriate SharePoint solutions and governance.
Key Responsibilities
  • Analyze network shares, security groups, and user permissions.
  • Review project documentation and artifacts before conducting business-unit interviews.
  • Develop interview topics and questions for stakeholder sessions.
  • Conduct structured interviews with SMEs across DOR and A&F IT business units.
  • Identify current processes, use cases, and business requirements associated with network drives and shared network drives.
  • Document stakeholder interviews, gather feedback, and develop business requirements and process documentation.
  • Identify applications that access network shares for read/write operations and document related business use cases.
  • Develop and maintain application inventories and other project artifacts.
  • Create use cases, requirements documents, business process models, and other design artifacts.
  • Participate in requirements reviews, design meetings, and project status meetings.
  • Review proposed SharePoint use cases and requirements with project teams.
  • Explain proposed functionality, identify potential issues, gather feedback, and revise documentation as needed.
  • Create and maintain required project artifacts within SharePoint.
  • Participate in developing proposed SharePoint solutions and document the rationale for each solution.
  • Propose high-level SharePoint security-group models and coordinate with the CISO organization.
  • Assist in developing an enterprise architecture/model for SharePoint sites used for file storage.
  • Review and update SharePoint governance documentation.
  • Participate in senior-management briefings regarding findings, recommendations, and SharePoint models.
  • Use Jira to document user stories, use cases, and project tasks.
 
Required Qualifications
  • Minimum 5 years of Business Analyst experience.
  • Comprehensive understanding of Microsoft 365 SharePoint Online, including hands-on experience.
  • At least 2 years of SharePoint experience in an enterprise environment.
  • Demonstrated experience with migration of network/shared files to SharePoint.
  • Strong analytical, technical, information-processing, and business-analysis skills.
  • 3–5 years of experience gathering, developing, and documenting business requirements.
  • 3–5 years of experience developing and maintaining design artifacts, such as:
    • Use cases
    • Business process models
    • Requirements documents
    • SharePoint models
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with both technical and business stakeholders at all organizational levels.
  • Strong documentation and requirements-writing skills.
  • Demonstrated ability to identify and formalize business needs and translate them into use cases and requirements.
  • Strong customer-service and stakeholder-management skills.
  • Ability to prioritize work and operate effectively in a fast-paced environment.
  • Experience working effectively in collaborative, team-oriented environments.
  • Good judgment and discretion when handling sensitive information.
  • Strong listening and interpersonal skills.
  • Expertise with Microsoft Visio and PowerPoint.
  • Bachelor's degree in Information Technology or a related discipline. Equivalent professional experience may be considered.

  • Microsoft 365 / OneDrive experience.

  • Application dependency/discovery analysis.
