Responsibilities:
Work with workstream owners to map new and changed process flows end to end, including the split of activity between LMI and the fund administrator.
Capture control points, handoffs, exception paths and system touchpoints in each flow, and identify where a step has no clear owner.
Help draft operating procedures, desk procedures and playbooks in the team’s templates, and take each one through review with the operations owner.
Keep the documentation set consistent in structure, template and terminology across the six workstreams: cash management, fund administration, monthly and quarterly reporting, compliance and waterfall, rating agency, and loan servicing and reconciliation.
Maintain version control so that the current state of each artifact is clear to the team at any point.
Help maintain the operational deliverable register, tracking status, owner and open items across workstreams.
Capture requirements, decisions and open questions from working sessions, and turn them into clear written follow-ups that move items to closure.
Support the drafting of RACI and service level definitions alongside the subject matter experts and workstream owners.
Prepare materials for working group and program reviews, working to the existing reporting cadence.
Prepare, help facilitate and document working sessions with operations, finance, data and technology partners.
Follow up on open items between sessions, and flag risks to the Nov. 1 readiness date early rather than late.
Help document data requirements and lineage for compliance and waterfall testing, rating agency reporting, and periodic reporting.
Requirements:
Minimum 5 years as a business analyst in asset management, insurance investment, banking, or in consulting to those firms.
Demonstrated process mapping experience, including swimlane and cross-functional flows that went into production use.
Track record writing operating procedures or desk procedures that the people doing the work actually used.
Strong requirements elicitation skills, with experience drawing detail out of operations subject matter experts who are busy.
Proficient with Visio, Lucidchart or an equivalent process mapping tool, and with Word, Excel and PowerPoint.
Able to carry several workstreams at once against a fixed date, and to work with incomplete information without stalling.
Highly effective collaborator who writes clearly, asks rather than assumes, and raises issues constructively.
Preferred Skills:
Investment operations exposure across loans, private credit, fund administration or IBOR and ABOR environments.
Prior experience documenting an outsourced service relationship with a fund administrator, custodian or transfer agent.
Fund launch or platform implementation experience with a hard external date.
Experience with a deliverable register or program tooling such as Jira, Confluence or Smartsheet.
Familiarity with AI tools such as Claude, ChatGPT or Gemini, applied to drafting documentation and synthesizing complex material.
