Position Overview
The Business Analyst is responsible for supporting VHSS’s business intelligence functions through direct use of Epicor Prophet 21 (P21), reporting tools, dashboards, and process improvement methods. The expectation of this role is to translate business needs into practical system, data, and reporting solutions while ensuring accurate information is available to support federal contract execution, customer responsiveness, operational performance, and leadership decision-making.
This role will be a key internal resource for Epicor Prophet 21 ERP workflows and business intelligence reporting. The person in this position will work across contract administration, account management, finance, purchasing, operations, and customer service to improve visibility into contract performance, manufacturer participation, SKU-level activity, order fulfillment, utilization, sales history, customer support activity, and operational analytics.
This person must be proficient in Epicor Prophet 21 (P21) ERP software and capable of using P21 data to create meaningful reporting tools, business intelligence dashboards, and actionable analytics for sales, operations, customer service, contract administration, and executive leadership.

Business Analysis and Process Improvement and Epicor Prophet 21 ERP Support
- Partner with leadership, sales, operations, customer service, finance, purchasing, and contract administration teams to understand business needs, document requirements, and recommend practical improvements.
- Analyze current workflows related to federal contract order management, purchasing, inventory, fulfillment, invoicing, customer support, and reporting.
- Serve as an additional key internal resource and subject matter expert for Epicor Prophet 21 (P21) ERP functionality in a distribution and federal contracting environment.
- Gain user experience in order entry, quotations, customer records, item records, pricing, purchasing, inventory, receiving, shipping, invoicing, and related P21 workflows.
- Troubleshoot user issues, research root causes, recommend solutions, and coordinate with IT, outside consultants, or Epicor support as needed.
- Maintain and improve ERP data quality, including customer, item, vendor, pricing, contract, and transaction data.
- Assist with P21 reporting, dashboards, queries, system configuration, testing, upgrades, and user training.
- Ensure ERP processes support federal contract requirements, audit readiness, and accurate operational reporting.
Business Intelligence, Reporting, and Dashboards
- Design, build, maintain, and improve business intelligence tools, dashboards, and recurring reports for sales, operations, purchasing, inventory, contract performance, and customer service metrics.
- Transform ERP and operational data into clear, actionable insights for team members and executives.
- Create dashboards that track metrics such as sales trends, gross profit, order backlog, fill rate, on-time delivery, open orders, quote activity, customer activity, contract performance, and operational productivity.
- Use reporting tools such as Power BI, SQL, Excel, P21 reporting tools, Crystal Reports, or similar platforms to provide accurate and timely analytics.
- Validate report logic, reconcile data to source systems, and document assumptions, definitions, and refresh schedules.
Federal Contract and SDVOSB Business Support
- Support reporting and data needs related to federal contracts, government customers, contract line items, pricing, delivery performance, and compliance documentation.
- Help maintain accurate records needed for contract administration, customer communications, audits, and management reviews.
- Work with Executive Team to ensure systems and reports support the company’s mission as a SDVOSB serving federal agencies and prime contractors.
Required Qualifications
- Demonstrated proficiency with Epicor Prophet 21 (P21) ERP software is required.
- Experience as a Business Analyst, ERP Analyst, Systems Analyst, Operations Analyst, Sales Analyst, or similar role.
- Strong understanding of distribution, supply chain, inventory, purchasing, sales order processing, customer service, and operational workflows.
- Experience building reports, dashboards, or analytics tools using Power BI, Excel, SQL, Crystal Reports, P21 reporting tools, or similar platforms.
- Ability to gather business requirements, document processes, analyze data, troubleshoot issues, and communicate recommendations clearly.
- Strong attention to detail, data accuracy, follow-through, and problem-solving skills.
- Ability to support multiple priorities in a fast-paced federal contracting and distribution environment.
- Professional communication skills and a service-oriented approach with internal and external customers.
Preferred Qualifications
- Experience working for or supporting a federal contractor, government supplier, SDVOSB, VOSB, or small business contractor.
- Familiarity with federal contract operations, government purchasing, contract documentation, GSA or agency ordering processes, prime contractor support, or compliance-oriented reporting.
- Experience with SQL queries, data models, report automation, ERP integrations, data migration, or master data management.
- Experience supporting sales analytics, operational KPIs, inventory metrics, and executive dashboards.
- Bachelor’s degree in Business, Information Systems, Supply Chain, Operations Management, Analytics, or a related field; or equivalent military service experience.
