The Service Center Business Administrator is responsible for supporting the day-to-day business, project management, administrative, and accounting activities of a regional service center.
This position is directly responsible for invoicing, customer follow-up, project administration, financial reporting, forecasting, and accounting support. The role works closely with service center management, customers, vendors, and operational teams to ensure accurate project records, timely billing, and effective business operations.
Support the day-to-day business, project management, and accounting activities of the regional service center.
Confirm customer order entry information for accuracy.
Assign project cost estimates and process order acknowledgement letters.
Coordinate specific contract requirements as needed.
Review client and project records to ensure completeness, accuracy, and timeliness.
Review project status on a weekly basis.
Maintain open project databases and related documentation.
Issue purchase orders and enter project-related expenses into the appropriate systems.
Ensure project reports are completed in a timely manner and provided to clients upon project completion.
Summarize project cost data in preparation for client billing.
Prepare and issue client invoices for the service center/region.
Assist with local accounts receivable, collections, and accounts payable matters.
Maintain contact with customers and outside vendors to help resolve collection and payable issues.
Prepare forecasting and other accounting reports.
Analyze financial and business data and provide recommendations to management.
Support accurate financial tracking and reporting for service center projects.
Identify and implement potential cost-saving initiatives.
Partner with operational management to identify business data needed to meet operational objectives.
Assist with improving business procedures, resolving operational issues, and enhancing reporting.
Provide business and administrative support to the Service Center Manager as needed.
Communicate regularly with customers, vendors, employees, and internal stakeholders.
The position may also include intermediate-level network administration responsibilities, such as:
User setup and access support.
Backup restorations.
System upgrades.
Troubleshooting computer hardware and software issues.
Minimum of 3 years of experience in service center administration, invoicing, bookkeeping, accounting support, or a related function.
Experience with invoicing, billing, purchase orders, project expenses, and financial reporting.
Strong understanding of general accounting practices.
Ability to review and maintain accurate project and financial records.
Strong analytical and problem-solving skills.
Excellent organizational skills and attention to detail.
Ability to communicate clearly and professionally with customers, vendors, employees, and management, both verbally and in writing.
Comfortable working in a service center environment involving regular computer and telephone use.
