Summary
The Budget/Part Coordinator supports prototype development by overseeing the planning, request for parts (budget for parts), tracking, and management of all parts required for builds, testing activities, workshops, and engineering evaluations. This role ensures that prototype components, materials, consumables, and assemblies are sourced, tracked, stored, and delivered to meet engineering and program timelines.
The Budget/Part Coordinator maintains full visibility of part readiness, inventory levels, shortages, inbound deliveries, and material flows—ensuring cross functional teams can execute development, validation, and durability testing without supply interruptions.
This position acts as the operational link between engineering, supply chain, prototype shops, test labs, and external suppliers to ensure predictable material availability throughout all phases of product development.
Responsibilities
- Parts Planning & Material Coordination
- Maintain a master parts plan aligned to build events, workshop activities, and engineering needs.
- Ensure alignment between engineering BOMs, part configurations, revision levels, and required quantities.
- Monitor critical shortages, and ensure timely delivery of parts for required activities.
- Supplier & Order Management
- Based on part needs; coordinate with procurement team to get quotes, formularize budget requests, work with finance to approve orders, and have purchasing team purchase parts.
- Serve as the primary contact for supplier delivery schedules, shipment tracking, and part readiness updates.
- Track long-lead items, prototype hardware orders, and supplier commitments.
- Coordinate with purchasing teams to resolve supply issues, escalate delays, and request expediting where needed.
- Verify that received components match specifications, quantities, and configuration requirements.
- Inventory, Storage & Logistics
- Maintain accurate inventory with warehousing of prototype parts, and consumables.
- Track movement of parts between facilities, suppliers, and test locations.
- Ensure complete and timely material availability.
- Readiness, Issue Tracking & Documentation
- Conduct part readiness checks ahead of builds or test events, confirming quantity, revision level, and configuration accuracy.
- Track part-related issues discovered during builds, testing, or inspections; route responsibility and follow through until closure.
- Maintain dashboards, trackers, and reports showing inventory status, shortages, incoming delivery timelines, and risks.
- Cross-Functional Coordination & Communication
- Collaborate with engineering, prototype build teams, validation labs, and supply chain groups to align part needs, budgets, and timelines.
- Support program management by ensuring part availability aligns with vehicle, subsystem, and test schedules.
- Coordinate communication with suppliers regarding design updates, configuration changes, or build impacts.
Qualifications
- 3–7 years of experience in parts coordination, prototype materials management, supply chain, or automotive development support.
- Understanding and ability to read engineering BOMs, and build processes. (ability to review CAD is an added bonus and would help candidate review BOM)
- Experience interfacing with suppliers, coordinating deliveries, and managing inbound/outbound logistics.
- Proficiency with tracking tools such as Excel, and Jira/Azure DevOps.
- Strong organizational and problem solving skills; ability to manage multiple simultaneous part streams.
- Excellent communication and cross functional collaboration skills.
