Position Overview
The Billing Specialist is responsible for ensuring accurate and timely billing for assigned plant locations. This position will process work orders, verify required documentation, generate invoices, post payments, maintain billing records, and complete required reporting.
The Billing Specialist works closely with Dispatch, Accounting, Sales, and plant personnel to ensure billing information is complete, accurate, and properly processed.
Receive, review, and organize work orders, manifests, and paperwork from assigned plant locations.
Verify Chain of Custody documentation and follow up on missing or incomplete paperwork.
Process work orders and generate accurate invoices.
Match invoices with supporting documentation and distribute invoices according to customer requirements.
Process customer payments and recurring or monthly billing as needed.
Maintain accurate and organized billing records.
Prepare billing and sales reports and reconcile totals for accuracy.
Scan, organize, and maintain electronic and physical billing records.
Complete required manifest reporting for applicable cities and municipalities.
Communicate with Dispatch, Accounting, Sales, and plant personnel regarding billing questions or discrepancies.
Assist with additional administrative and billing-related duties as needed.
Strong attention to detail and excellent organizational skills.
Ability to prioritize multiple tasks and meet recurring deadlines.
Ability to work independently and manage responsibilities with minimal supervision.
Strong written and verbal communication skills.
Comfortable working with invoices, reports, and customer accounts.
Basic computer skills with the ability to learn new software and billing portals.
Ability to identify, research, and resolve billing discrepancies.
Previous billing, accounting, or administrative experience preferred.
Primarily office-based work environment.
Regular use of computers and electronic systems.
Frequent handling and organization of physical and electronic records.
Requires the ability to manage multiple tasks, deadlines, and recurring billing responsibilities.
Regular MondayFriday schedule.
