About the Role:
 Tot Lot Services is looking for a reliable, organized, and detail-oriented  Billing Specialist / Scheduler  to join our service-industry team. This is a key office position that requires someone who can effectively manage multiple priorities, communicate with customers and field technicians, and stay on top of detailed billing and administrative responsibilities.



Responsibilities:

•  Dispatch and schedule field technicians efficiently throughout the day
  Coordinate service calls and communicate scheduling information with technicians and customers
  Prepare detailed and accurate customer invoices
  Handle accounts receivable and follow up on outstanding balances
  Prepare quotes, estimates, and proposals for customers
  Order materials, parts, and supplies as needed for service jobs
  Review completed work orders for accuracy and completeness
  Maintain organized customer and job records
  Communicate professionally with customers, vendors, and field personnel
  Assist with day-to-day office operations and administrative duties
  Manage multiple jobs and priorities while meeting deadlines
  Ensure billing, dispatch, and job information is accurate and up to date

Requirements:

•  Computer skills are a must
  Strong attention to detail and excellent organizational skills
  Previous experience in dispatching, billing, accounts receivable, or the service industry preferred
  Ability to multitask and work efficiently in a busy office environment
  Strong written and verbal communication skills
  Professional and friendly customer-service attitude
  Ability to work independently and as part of a team
  Dependable, punctual, and committed to accuracy
  Ability to learn and navigate office, scheduling, billing, and accounting software
