Billing Specialist – Temporary Project Assignment
Anticipated Duration: 2–4 Months
NextStep Recruiting is partnering with a leading organization seeking a detail-oriented Billing Specialist to support a high-volume, time-sensitive project. This temporary position will be responsible for generating accurate client invoices, reconciling travel and vendor expenses, researching billing discrepancies, and helping ensure timely payment for services provided.
The ideal candidate has previous accounting or billing experience, strong Excel skills, and the ability to work accurately while managing multiple priorities and deadlines.
What You’ll Do
- Generate accurate client invoices by applying contractual billing terms, established business rules, and applicable tax requirements.
- Review and reconcile hotel, travel, and vendor invoices and folios throughout the project lifecycle.
- Interpret client agreements and contract terms to identify and appropriately process billing exceptions.
- Distribute invoices through email, mail, client portals, and other billing technologies.
- Monitor shared email inboxes related to timecard processing, billing documentation, and invoice support.
- Research and resolve billing discrepancies, client account concerns, and invoicing issues.
- Maintain accurate billing records and update billing systems to document invoice changes and resolutions.
- Coordinate with clients regarding invoices that require special processing, documentation, or delivery procedures.
- Respond to billing-related questions from internal teams, clients, and external partners.
- Prepare and process billing adjustments, including credits and debits, accurately and within established timelines.
- Build, run, review, and reconcile Excel reports to support billing accuracy and financial reporting.
- Help identify and address potential revenue leakage by ensuring all billable services and expenses are properly invoiced.
What You’ll Bring
- Two to five years of relevant professional experience.
- Previous experience in billing, accounting, accounts receivable, invoicing, or a related financial function.
- Working knowledge of billing systems, accounting software, or similar financial technologies.
- Proficiency in Microsoft Excel, including the ability to create, review, and reconcile reports.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and commitment to accuracy.
- Clear and professional written and verbal communication skills.
- Ability to manage confidential and sensitive financial information appropriately.
- Strong organizational skills and the ability to prioritize work in a fast-paced, project-based environment.
- Ability to collaborate effectively with internal teams, clients, and external vendors.
Education
- High school diploma or GED required.
Work Environment
- Work will be performed in an office or home-office environment.
- Depending on the position’s work arrangement, periodic attendance at a local office may be required.
