    Description

    National Mechanical Experts is seeking a highly organized and detail-oriented Billing & Contracts Administrator to support our growing operations team. This position is responsible for preparing customer invoices, administering service agreements, maintaining customer accounts, and ensuring accurate coordination between Operations, Dispatch, Billing, and customers.The ideal candidate enjoys working in a fast-paced environment, has excellent organizational skills, and thrives in a role that requires accuracy, communication, and collaboration across multiple departments.Primary Responsibilities
    • Prepare and process customer invoices, including service, project, and progress billing
    • Review work orders, labor entries, and purchase orders to ensure billing accuracy
    • Administer customer service agreements, renewals, and contract amendments
    • Coordinate preventative maintenance schedules with Dispatch
    • Maintain customer accounts, equipment records, and contract documentation
    • Upload invoices to customer portals and manage billing records
    • Generate reports and support month-end billing activities
    • Work closely with Operations, Dispatch, Accounting, Sales, and customers to ensure accurate and timely service delivery
    Qualifications
    • 2+ years of billing, contract administration, customer account management, or related administrative experience preferred
    • Experience in HVAC, construction, mechanical contracting, or another service-based industry is a plus
    • Strong attention to detail and organizational skills
    • Proficient in Microsoft Excel and Microsoft Office
    • Experience with FieldPoint or similar field service management software is an asset
    • Excellent communication and customer service skills
