Job SummaryWe are seeking a dependable and detail-oriented
Billing and Office Assistant to join our team and support our daily office operations. This role requires hands-on experience with billing, including AIA Billing and QuickBooks, as well as strong administrative skills. The ideal candidate is organized, efficient, and comfortable managing both financial and office related tasks.

Billing and Accounting Support- Prepare and submit invoices, including AIA G702/G703 billing forms (required)
- Enter and Manage financial Data in QuickBooks (required)
- Track outstanding invoices and follow up on payments
- Maintain organized records and ensuring accuracy of billing data
- Reconcile invoices and assist with basic bookkeeping tasks
Office & Administrative Support- Handle Daily office tasks including filing, data entry, and document management
- Maintain and update company records and systems
- Provide general administrative support to the team
Qualifications- High school diploma/GED required, some college preferred
- Previous experience in billing and office assistance preferably in a commercial/residential construction (minimum of 3 years)
- Proficiency in QuickBooks and invoicing systems
- Experience with account payables and receivables
- Experience preparing AIA G702/G703 billing applications for payments (required)
- Skilled in Microsoft Office, Excel, Adobe ,and Outlook.
- Ability to manage multiple tasks and meet deadlines
- Strong problem-solving skills and attention to detail
- Excellent verbal and written communication skills
Preferred - Experience in the construction or contracting Industry
- Familiarity with job cost tracking
