Job Summary
We are seeking a dependable and detail-oriented Billing and Office Assistant to join our team and support our daily office operations. This role requires hands-on experience with billing, including AIA Billing and QuickBooks, as well as strong administrative skills. The ideal candidate is organized, efficient, and comfortable managing both financial and office related tasks.  
Note: You have to be experienced in AIA billing and QuickBooks to apply for this job. 


KeyResponsibilities
Billing and Accounting Support

  • Prepare and submit invoices, including  AIA G702/G703 billing forms (required)
  • Enter and Manage financial Data in QuickBooks (required)
  • Track outstanding invoices and follow up on payments 
  • Maintain organized records and ensuring accuracy of billing data
  • Reconcile invoices and assist with basic bookkeeping tasks 
Office & Administrative Support
  • Handle Daily office tasks including filing, data entry, and document management
  • Maintain and update company records and systems 
  • Provide general administrative support to the team

Qualifications
  • High school diploma/GED required, some college preferred
  • Previous experience in billing and office assistance preferably in a commercial/residential construction (minimum of 3 years)
  • Proficiency in QuickBooks and invoicing systems
  • Experience with account payables and receivables
  • Experience preparing AIA G702/G703 billing applications for payments (required)
  • Skilled in Microsoft Office, Excel, Adobe ,and Outlook.
  • Ability to manage multiple tasks and meet deadlines
  • Strong problem-solving skills and attention to detail
  • Excellent verbal and written communication skills 
Preferred 
  • Experience in the construction or contracting Industry
  • Familiarity with job cost tracking
