    Description

    Therapy Client Services Coordinator

    The Therapy Client Services Coordinator provides critical, timely support across the continuum of Aveanna's care delivery model. Coordinators will provide communication, leadership, and organizational skills working in harmony with leadership andfield clinicians on establishing best-in-class processes and procedures, enabling continuity of care and supporting our growth initiatives.

    REQUIREMENTS:

    · Demonstrated ability to prioritize tasks and make decisions that benefit the patient and the organization.

    · Ability to work independently, manage multiple tasks, and stay organized in a fast-paced environment.

    · Demonstrate leadership capabilities with ability to effectively coordinate complex teams.

    · Professional decorum and appearance in accordance with Aveanna's Dress Code policy.

    Preferences

    · Bachelor's degree preferred

    · Prior healthcare experience

    · Bilingual (Spanish)

    CORE RESPONSIBILITIES:

    · Essential Job Functions

    · Orders and Authorization management

    · Input Physical Therapy, Occupational Therapy, Speech Therapy and Medical Nutrition referrals into electronic medical record software within 24 hours of referral being made.

    · Manage and coordinate the timely and accurate processing of all therapy referrals and orders

    · Track and submit evaluations, re-evaluations, physician orders, discharge orders, and other clinical documentation to signing physicians and patient's insurance.

    · Insurance and Verification of Benefits

    · Conducts initial insurance verification to confirm appropriate payment sources for referrals.

    · Communicate therapy referrals, authorization and denials to the Therapy CSC following verification.

    · Monitor and track eligibility changes, holds, and denials, and submit timely updates.

    · Coordinate with patient families and the Aveanna Collections team to ensure required forms of payment are secured during the verifications process.

    · Communication and Coordination:

    · Collaborate with the Business Development team to address PCP documentation and arrange in-person delivery, as necessary.

    · Communicate and coordinate with physician offices and other departments to secure required documentation.

    · Maintains accurate records.

    · Electronic Visit Verification (EVV) Management:

    · Manage EVV pending reports and assist leadership in resolving warnings and errors to ensure compliance and accuracy in billing practices.

    · Role is deadline- driven and requires the ability to handle multiple priorities.

    WORKING ENVIRONMENT

    · Primarily office-based role with potential outreach to clinic, or home environments as needed.

    KNOWLEDGE OF JOB:

    · Consistently demonstrates timely and dependable attitude in all aspects of work assignments; meets deadlines for assigned projects.

    · Knowledge of respective territory with preference of zip codes and ability to cluster therapy staff within those respective zip codes.

    · Consistently promotes positive public relations between Aveanna and potential candidates.

    · Demonstrates proper judgement in staff placement and prioritizing referrals to optimize patient care.

    · Focuses on relationship-building. Consistently fosters positive relationships with both internal staff and external stakeholders, demonstrating clear and courteous communication in all interactions.

    · Reports client concerns and problems and promptly seeks solutions.

    · Proactively identifies challenges in staffing or scheduling and collaborates with leadership to implement timely solutions

    ATTENDANCE AND RELIABILITY:

    · Maintains reliable and consistent attendance, providing advance notice of any absences or changes in availability

    PATIENT AND EMPLOYEE RIGHTS:

    · Always maintains and respects patient and employee confidentiality according to HIPAA guidelines.

    QUALITY:

    · Adheres to all Federal/state regulation and company policies, maintaining continuity of care and addressing complaints promptly and professionally.

    MAINTAINING CLIENT PROFILE:

    · Maintain up-to-date client profiles in the EMR system, communicates changes to the appropriate team members, and present staffing alternatives when needed.

    · Coordinate with clients and client-facing staff prior to service delivery, ensure all therapists credentials are current, and provide the necessary client information, directions, and schedules. Preserve confidentiality and use appropriate communication channels to maintain positive, professional relationships.

    RECRUITER/STAFF RELATIONSHIPS:

    · Identifies employee preference for assignment and shift. Insures evidence of therapy credentials for client assignment.

    · Assists patient-facing staff with geographic location, directions, and overview of client profile.

    Physical Requirements

    · Must be able to speak, write, read, and understand English

    · Occasional lifting, carrying, pushing, and pulling of 25 pounds

    · Prolonged sitting, walking, standing, bending, kneeling, reaching, twisting

    · Must be able to sit, stand, and climb stairs

    · Must have visual and hearing acuity

    · Must have strong sense of smell and touch
