Bilingual Referral Coordinator - Job Overview

Schedule: 8:30AM-5PM

As a Referrals Coordinator, you will play an important part in helping patients access the diagnostic, specialty, and miscellaneous services they need. You will review and process referral requests from clinical staff, obtain required insurance authorizations, coordinate appointments, and help patients navigate financial and social barriers to care.

You will balance multiple calls, referrals, authorizations, and follow-up activities while treating every patient with respect and encouragement. Key Responsibilities

  • Review and process all diagnostic, specialty, and miscellaneous referral requests submitted by clinical staff.
  • Obtain patient insurance verification and authorization for referrals, and schedule appointments as appropriate.
  • Complete phone consultations with clients regarding the status of referrals.
  • Review and process prior authorization requests submitted by clinical staff.
  • Record all appropriate information via Centricity EHRS.
  • Build relationships with providers and referral sources.
  • Adhere to regulations for a Patient Centered Medical Home.
  • Adhere to all HIPAA Guidelines.
  • Maintain working knowledge of and comply with Medicare/Medicaid regulations.
  • Ensure proper documentation of service coordination, including attaching all supporting documentation to referrals.
  • Follow up on and complete orders for referral locations and providers with the appropriate discipline.
  • Initiate completion of forms for provider review and final signature, including but not limited to home health orders and therapy orders.
  • Provide phone contact to motivate and encourage patients to complete imaging services and preventive cancer screenings in a timely manner, including CAT scans, MRIs, ultrasounds, colorectal cancer screenings, breast cancer screenings, cervical cancer screenings, and HPV vaccinations.
  • Provide reminder phone calls and send letters to patients regarding scheduled appointments to enhance completion of tests, screenings, and vaccines.
  • Set and confirm medical appointments as needed, including appointments for other provider services.
  • Participate in the Performance Improvement Program for coordination of care.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma or GED
  • One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Required Years of Experience

  • One (1) year of experience in medical assistance, referral coordinator, insurance verification, or medical prior authorization

Required Knowledge, Skills, and/or Abilities

  • Ability to communicate effectively, both written and orally.
  • Excellent customer service skills.
  • Ability to multi task in a fast paced environment.
  • Excellent organizational skills.
  • Strong typing and computer skills.
  • This job requires access to confidential and sensitive information, requiring ongoing discretion and secure information management.
  • Dependable, independent self-starter who takes responsibility for their work.
  • Must be computer savvy with strong MS Office knowledge, including Word, Excel, Outlook, and Power Point.
  • Professional written and verbal communications skills.
