    Sigma, Inc. is seeking a Bilingual Administrative Assistant (Spanish) to support the Massachusetts Department of Early Education and Care (EEC) at its Lawrence Regional Office.

    This is an excellent opportunity for a bilingual administrative professional with strong customer service, receptionist, clerical, Microsoft Office, scheduling, and office coordination skills. The selected candidate will provide front desk coverage and administrative support while interacting with callers, visitors, staff, and members of the public in both English and Spanish.

    Job Summary

    The Bilingual Administrative Assistant will support the EEC Lawrence Regional Office by providing front desk coverage and general administrative assistance.

    The position will report directly to the EEC Lawrence Regional Director and will serve as primary or backup coverage for the Office Support Specialist. When the Office Support Specialist is present, the Bilingual Administrative Assistant will primarily provide front desk coverage, including greeting visitors, answering calls, responding to routine inquiries, and directing individuals to the appropriate resources.

    The ideal candidate will be fluent in both Spanish and English, professional, organized, detail-oriented, customer-service focused, and comfortable working with office technology and Microsoft Office applications.

    Key Responsibilities

    Reception & Customer Service

    • Greet callers warmly and professionally.
    • Answer incoming telephone calls and determine the reason for each call.
    • Provide routine information and assistance to callers.
    • Direct callers to appropriate internal or external departments and resources.
    • Greet visitors arriving at the regional office.
    • Notify appropriate personnel when visitors arrive.
    • Provide professional customer service to members of the public, staff, and other stakeholders.
    • Communicate effectively in both English and Spanish.

    Administrative & Clerical Support

    • Perform general clerical and administrative functions for the regional office.
    • Receive, organize, distribute, and process incoming mail.
    • Prepare and handle outgoing mail.
    • Maintain familiarity with office equipment and appropriate contacts for technical or operational assistance.
    • Monitor and maintain an appropriate supply of office materials.
    • Maintain organized and accurate administrative records.
    • Assist with day-to-day office operations and administrative needs.

    Meeting & Conference Room Coordination

    • Coordinate the use of meeting rooms for trainings, meetings, and other office activities.
    • Manage conference room calendars and scheduling.
    • Assist with meeting room setup before meetings and trainings.
    • Break down and organize meeting rooms after meetings and events.
    • Help ensure meeting spaces are prepared and available as scheduled.

    Additional Support

    • Follow written and verbal instructions accurately.
    • Handle confidential information with discretion.
    • Exercise sound judgment when interacting with callers, visitors, and staff.
    • Assist the Regional Director and office staff with administrative assignments.
    • Perform other duties as assigned.

    Required Qualification

    • Fluent in both spoken and written Spanish and English.

    Preferred Qualifications

    • Excellent customer service and interpersonal skills.
    • Previous administrative assistant, receptionist, office assistant, or clerical experience.
    • Strong ability to follow written and verbal instructions.
    • Ability to handle confidential information professionally and exercise sound judgment.
    • Strong attention to detail and organizational skills.
    • Ability to maintain accurate records and documentation.
    • Comfortable learning and using new computer systems and IT applications.
    • Proficiency with Microsoft Office, including Word, Excel, Outlook, and related applications.
    • Experience answering phones and assisting visitors in a professional office environment.
    • Experience coordinating meetings, conference rooms, calendars, or office resources.
    • Familiarity with Massachusetts state government or public-sector organizations is a plus.
