Sparks Group has partnered with a leading  nonprofit building pathways to stable housing, food security, and brighter futures for children and families in the community seeking a part time Bi-lingual Spanish Administrative Assistant to communicate with counseling clients from initial screening through close-out to ensure they understand the counseling process, collect all required intake documents and signatures, and schedule follow-ups. The Program Coordinator also ensures that program recordkeeping complies with agency, state, and federal regulations requirements.

 

Key Performance Indicators

  • Respond to walk-in, email, and phone requests for counseling services, coordinate initial screening assessments, and maintain an appropriate priority list based on client needs and assessment with the Housing Counselor.
  • Schedule appointments and register clients for the program’s classes and events.
  • Conduct initial document collection and intake in preparation for counseling appointments.
  • Assist the Housing Counselor with data entry for agency/program client management systems.
  • Organize, complete, and maintain client files according to government, state, and auditor requirements.
  • Coordinate closely with front desk personnel to ensure clients coming in the door or phoning in are given quality customer service.
  • Support the program with administrative duties as may be required.
  • Will be required, per state funder documentation needs, to complete paper timesheets and specialized personnel accounting reports (PARs).

 

Education/Licenses:

  • A high school diploma or educational equivalent.
  • Associate or bachelor’s degree in human services or public administration preferred.

 

Work Experience:

  • 3 years of program coordination or administrative experience.   
  • Proven ability to conduct accurate client needs assessments.
  • Ability to comply with all organizational and program policies and procedures.
  • Able to communicate effectively orally and in writing, in Spanish and English. 
  • Strong computer literacy, including word processing, web-based programs, and spreadsheets (Microsoft Office).

Pay Range: Hourly $20.00 to $20.00
