WHAT WE'RE LOOKING FOR:

The Benefits Coordinator serves as a primary point of contact for employees, Employee Experience Managers, vendors, and internal stakeholders regarding benefit-related matters. This role provides benefits support, manages employee benefit inquiries and cases through resolution, and coordinates with carriers and vendors to ensure accurate and timely service. The Benefits Coordinator serves as an employee advocate and supports the administration of the Company’s health and welfare benefit programs while promoting a positive employee experience. This role partners with Payroll, Leave Administration, Employee Experience Managers, and third-party vendors to support accurate, timely, and compliant benefits administration

 

Roles and Responsibilities:

  • Manages assigned ServiceNow benefit cases from intake through resolution, including reviewing and prioritizing cases, conducting necessary research, coordinating with stakeholders, documenting case activity, and providing timely follow-up.
  • Serves as a primary point of contact for employees and Employee Experience Managers regarding benefit inquiries and escalated issues, providing guidance on benefits processes, eligibility requirements, enrollment, and escalation procedures.
  • Researches and resolves employee concerns related to eligibility, enrollment, qualified life events, payroll deductions, vendor services, retirement, leave-related benefits, and carrier administration.
  • Supports administration of medical, dental, vision, life, disability, voluntary benefits, and wellbeing programs, including employee enrollments, benefit changes, and qualified life events.
  • Coordinates with carriers, third-party administrators, vendors, Payroll, Leave Administration, and internal stakeholders to research and resolve employee benefit concerns and escalated issues.
  • Monitors escalated benefit issues through resolution and delivers high-quality service and timely communication to promote a positive employee experience.
  •  Supports employees through onboarding, qualified life events, leaves of absence, and employment transitions by providing guidance regarding benefit plan provisions, enrollment requirements, eligibility, and benefit impacts.
  •  Maintains accurate and complete benefit records, employee interaction documentation, and case activity in accordance with established procedures.
  •  Processes and reconciles benefit premium payments for employees on leaves of absence and partners with Leave Administration to support benefit continuation and employee education during leave events.
  • Identifies recurring employee issues and service trends and escalates systemic issues, operational defects, unresolved vendor concerns, and process improvement recommendations to Benefits leadership.
  • Supports annual Open Enrollment activities, employee communications, educational initiatives, and other benefit program activities.
  • Assists with benefit-related documentation and regulatory requirements, including QMCSOs, ERISA, ACA, HIPAA, and other applicable compliance activities.
  • Participates in process improvement initiatives designed to improve benefits administration, service delivery, and the employee experience.
  • Maintains the confidentiality of employee and benefits information in accordance with established requirements.
  • Other duties as assigned.

 

Travel:  Yes: Minimally, as required (Typically less than 10%)

 

Qualifications:

Education: High School / GED

Experience: 1-3 years

 

Licenses and Certifications:

Associate Degree preferred Equivalent combination of education and experience may be considered.
