Job Summary
The Benefits and Leave of Absence Coordinator role manages end-to-end leave administration (FMLA, STD, parental pay, and ADA) while delivering high-touch support for daily benefit inquiries. Partnering closely with HR Business Partners, store leaders, and vendor partners, the Coordinator ensures our programs run seamlessly, compliantly, and with an associate-first focus.
Duties & Responsibilities
Leave of Absence & ADA Administration
- Administer all leave programs end-to-end, including FMLA, non-FMLA, personal leaves, Short-Term Disability, and company parental pay.
- Guide associates and managers through eligibility, required documentation, timelines, and return-to-work coordination.
- Partner with operations and store leaders to facilitate ADA accommodation requests and interactive process workflows.
- Ensure adherence to federal, state, and local leave laws and regulations.
Associate & Vendor Support
- Serve as the primary, high-touch point of contact for associate benefit questions across email, phone, and in-person inquiries.
- Act as the key operational contact for benefit vendor partners, including our health and welfare broker.
- Model Sendik’s culture by delivering exceptional service to associates, leadership, and external partners.
Plan Administration, Reporting & Compliance
- Aid in the daily administration and execution of health, welfare, and 401(k) plans to maintain compliance with federal and state laws (ERISA, COBRA, ACA, HIPAA).
- Lead recurring compliance projects and initiatives, including COBRA administration, 1095-C tax reporting, Medicare notifications, and annual flu shot clinics.
- Conduct monthly benefit enrollments/audits and actively support Open Enrollment, including troubleshooting associate issues.
- Generate and organize HR performance metric reporting and maintain up-to-date administrative SOPs.
Communications & Department Operations
- Maintain and update internal Sendik's benefit intranet pages regularly.
- Develop and execute monthly benefit communications for associates.
- Stay current on emerging benefit trends, regulations, and industry offerings.
- Support broader HR programs, assist in stores during peak holiday seasons, and complete other duties as assigned.
Work Experience Qualifications:
- BA/BS degree in Human Resources or a related field
- Minimum of 3 years of benefit related experience, including leave of absence administration
- Experience working within HRIS systems
- Proficient in computer programs, such as, Word, Excel and Google Docs
- Strong communication and problem-solving skills
- Strong working knowledge of regulatory compliance requirements (FMLA, ADA, COBRA, ACA, ERISA, HIPAA)
- Ability to interact effectively with individuals at all levels, internally and externally
- Strong analytical and decision-making skills, with the ability to address situations independently
- Strong sense of security and ability to handle sensitive information
- Excellent attention to detail
- Excellent time management, prioritization and organization skills
- Ability to work at a fast paced and efficient manner, adapting to changes to meet deadlines
- Strong sense of team – ability to anticipate the needs of the team
