The Benefits Analyst administers and supports employee benefits programs, including health, dental, vision, life insurance, disability, flexible spending accounts, and wellness initiatives. This role serves as a primary resource for benefits inquiries, ensures accurate benefits administration and data integrity across HRIS and vendor systems, and coordinates leave programs, including FMLA, ADA accommodations, short-term and long-term disability. The Benefits Analyst supports compliance with federal regulations (ERISA, HIPAA, ADA, FMLA) and plays a critical role in annual open enrollment planning and execution.

Minimum Qualifications

  • 5 years of experience in employee benefits administration, preferably in higher education or healthcare settings.
  • Bachelor's degree from a regionally accredited institution in Human Resources, Business Administration, Healthcare Administration, or related field; OR Associate's degree with an additional 2 years of relevant benefits administration experience.
  • Demonstrated experience with HRIS and benefits administration systems; Workday experience strongly preferred.
  • Working knowledge of federal benefits regulations, including ERISA, HIPAA, FMLA, ADA, COBRA, and ACA requirements.

Preferred Qualifications

  • 7+ years of experience in employee benefits administration, preferably in higher education or healthcare settings.
  • Professional certification, such as Certified Employee Benefits Specialist (CEBS), SHRM Certified Professional (SHRM-CP), or Professional in Human Resources (PHR).
  • Workday benefits and absence management module experience, including system configuration and reporting.
  • Experience coordinating wellness programs and employee assistance programs (EAP).

Description of Job Duty

Key Responsibilities

Benefits Administration

  • Administers all group benefit programs, including medical, dental, vision, life insurance, FSA/HSA, disability, and supplemental plans in accordance with plan documents and carrier requirements.
  • Serves as primary employee-facing resource for benefits inquiries, resolves escalated claims issues, and coordinates with carriers and third-party administrators (TPAs) to ensure timely resolution.
  • Ensures timely and accurate data entry into HRIS, payroll systems, and vendor portals; conducts regular audits to maintain data integrity and reconcile discrepancies.
  • Processes and submits vendor invoices to finance partners in a timely manner; monitors payment status and follows up to ensure accurate vendor accounting and reconciliation.
  • Supports annual open enrollment, including system configuration, employee communications, benefits education sessions, enrollment processing, and post-enrollment audits to ensure accuracy.
  • Maintains strict compliance with HIPAA regulations regarding confidentiality of protected health information (PHI) and demonstrates professional conduct and ethical practice in all benefits administration activities.

Retirement Plan Administration

  • Administer MSM's 403(b) and 457(b) retirement plans, including enrollment, contribution changes, catch-up elections, and loan/distribution processing in coordination with Fidelity.
  • Support plan compliance with ERISA, IRS regulations, and SECURE 2.0 provisions, including mandatory Roth catch-up requirements.
  • Respond to employee inquiries regarding retirement plan eligibility, investment options, and distribution rules.

Leave & Disability Administration

  • Serves as initial point of contact for all employee leave programs, including FMLA, ADA accommodations, short-term disability (STD), long-term disability (LTD), workers' compensation, military leave (USERRA), personal leave, and institutional leave policies.
  • Consults with employees and managers on leave rights, responsibilities, documentation requirements, and proper handling of attendance matters with sensitivity and strict confidentiality.
  • Manages the complete FMLA lifecycle, including eligibility determination, designation notices, medical certification tracking, benefit continuation during leave, intermittent leave coordination, return-to-work processes, and case closure documentation.
  • Coordinates the interactive ADA accommodation process in collaboration with HR Business Partners, campus accessibility services, and department leaders to identify reasonable accommodations and facilitate employee success.
  • Liaises with STD/LTD carriers and third-party administrators on claim submissions, eligibility verification, claim status tracking, and concurrent leave coordination to ensure seamless benefits continuation.
  • Maintains accurate leave tracking and reporting systems; prepares leave reports and metrics for HR leadership and compliance monitoring purposes.

Compliance & Reporting

  • Maintains benefits documentation including Summary Plan Descriptions (SPDs), Summary of Benefits and Coverage (SBC), plan amendments, and required notices in compliance with disclosure requirements.
  • Participates in benefits audits and compliance reviews; responds to regulatory inquiries and implements corrective actions as needed.

Immunization Requirements

It is MSM's Immunization policy that all Prospective Employees are encouraged to provide proof that they are vaccinated against COVID-19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate's offer of employment or disciplinary action up to and including termination.
