    Position Summary

    The Behavior Services Operations Manager is responsible for the operational management of the Behavior Services Department. The position oversees scheduling, staffing coordination, operational workflows, documentation compliance, intake, authorizations, employee accountability, and other non-clinical administrative functions to support the efficient delivery of Applied Behavior Analysis (ABA) services. This position partners closely with clinical leadership but does not make independent clinical decisions or supervise clinical treatment.

    Supervisory Responsibilities

    • Provides direct administrative and operational supervision to assigned Behavior Services Department staff, including Behavior Technicians, Registered Behavior Technicians (RBTs), administrative support staff, and other designated non-clinical personnel.

    • Oversees employee scheduling, attendance, productivity, workload distribution, and daily operational performance.

    Essential Functions

    • Direct daily operational activities for the Behavior Services Department.

    • Coordinate staff schedules, client assignments, and coverage for absences.

    • Manage intake, onboarding, waitlists, discharges, and service coordination.

    • Monitor authorizations and reauthorization timelines.

    • Oversee operational documentation completion and coordinate with billing staff.

    • Track productivity, utilization, staffing metrics, and operational KPIs.

    • Monitor attendance, punctuality, and adherence to company policies.

    • Conduct coaching, corrective action, and performance management for non-clinical performance issues in accordance with HR policies.

    • Partner with clinical leadership on recruitment, onboarding, and annual performance evaluations.

    • Maintain required records, certifications, and regulatory documentation.

    • Participate in quality improvement initiatives and leadership meetings.

    Non-Clinical

    • Does not develop treatment plans.

    • Does not perform assessments or modify behavior intervention plans.

    • Does not provide clinical supervision unless separately credentialed and assigned.

    • Refers all clinical decision-making to the Director of Clinical Services and BCBAs.

    Required Qualifications

    • Three years of progressively responsible supervisory or operations experience preferred.

    • Experience in healthcare, behavioral health, developmental disabilities, or ABA services preferred.

    • Strong organizational, communication, and leadership skills.

    • Proficiency with organizational software, electronic health record (EHR) systems, and other digital tools.

    • Strong organizational and documentation skills.

    • Ability to maintain confidentiality.

    Required Certifications & Licenses

    • Valid driver's license with acceptable driving record.

    • Successfully complete:

      • Agency Orientation

      • Successfully complete and maintain all required agency training in accordance with agency policies, state regulations, and position-specific requirements.

    Physical Requirements

    • Stand and walk for extended periods.

    • Bend, stoop, kneel, squat, reach, and push up to 50 pounds.

    • Use computers, phones, and other office equipment.

    • Ability to travel between service locations as needed.

    • Must be free from the effects of mind-altering substances, including but not limited to alcohol, illegal drugs (including THC), or any medication or substance that impairs the safe performance of job duties.

    Working Conditions

    • Residential homes, natural homes, community settings, employment sites, agency facilities, and outdoor environments.

    • Frequent local travel may be required.

    • Evening, weekend, holiday, and flexible shifts may be required depending on program assignment.
