    Banquet Administrative Assistant

    GENERAL SUMMARY
    The Banquet Administrative Assistant is responsible for all administrative aspects of the Banquet Department.


    FOUR DIAMOND SERVICE AGREEMENT
    All Team Members will display a Four Diamond commitment to Customer Service through the delivery and maintenance of the Quality Standards established by Pechanga Resort and Casino.


    KEY RESPONSIBILITIES
    •Communicate all changes, revisions, pop-ups and additions to the correct Banquet Department.
    •Help with all servers scheduling and update schedule daily.
    •Ensure all time clock punches and break punches are accurately recorded.
    •Ensure all Banquet Department Team Members are paid correctly.
    •Handle all phone calls and requests made by Team Members and guests.
    •Order and keep a par of all office supplies and office equipment.
    •Ensure all Banquet Event Orders are on the correct daily boards in the correct time order with the correct scheduled names.
    •Input all schedules for the department to include: Servers, Houseman, Houseman Shift Supervisors, Head Houseman, Captains, Set-Up Person, Bartenders and Lead Bartender.
    •Change schedules in Kronos daily pending changes on all schedules.


    ACCOUNTABILITY:
    This position does not have any supervisory or managerial responsibilities.


    EXPERIENCE/TRAINING/EDUCATION: High school diploma or general education degree (GED) or college; and at least 3 years relative experience is preferred to successfully perform this job.


    COMMUNICATION SKILLS: This position requires the ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. This position also requires the ability to write routine reports and correspondence. Furthermore, this position also requires the ability to speak effectively before groups of customers or employees of the organization.


    MATHEMATICAL SKILLS: This position requires the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. This position also requires the ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


    REASONING ABILITY: This position requires the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. This position also requires the ability to deal with problems involving several concrete variables in standardized situations.


    CERTIFICATES, LICENSES, REGISTRATIONS:
    •TIP’s Certification
    •Food Handlers Certification


    SKILLS/ABILITIES:
    •Must be computer literate.
    •Must be able to use Microsoft Word, Excel, PowerPoint, Publisher and Outlook. Must be internet savvy.
    •Must be able to use the OPERA System.
    •Must be able to use Stratton Warren and Kronos.
    •Must be able to type 50 + words a minute.


    OTHER QUALIFICATIONS:
    •Must be able to read and understand a Banquet Event Order (BEO).
    •Must be able to work in a stressful environment.
    •Must be able to multi-task.
    •Must be able to answer multiple phone lines.
    •Must always be professional and courteous to team members and guests.
