General Summary:

The Auxiliary Programs Coordinator serves as the primary point of contact for families and staff while overseeing all registration and communication for auxiliary programs. This position manages enrollment processes, focuses on improving systems and workflows, and supports the successful operation and growth of programs such as summer camp, after-school care, and enrichment, and other programming that aligns with the school's mission.

Essential Duties and Responsibilities:

  • Serve as the primary point of contact for families, staff, and community inquiries via phone and email; ensure timely, high-quality customer service.
  • Serve as primary point of contact for all transportation communications, questions, and concerns.
  • Distribute transportation enrollment forms and welcome communications to families.
  • Develop and execute all family communications, including email campaigns, enrollment messaging, welcome materials, and a comprehensive communication calendar.
  • Manage registration operations across all auxiliary programs (summer camp, before/after school, enrichment, transportation, and daycare), including data entry, account management, confirmations, and reporting through UltraCamp.
  • Support marketing efforts through the development and distribution of program materials and messaging.
  • Coordinate with the Business Office to reconcile financial data, verify reports, and support billing processes for after school, transportation, private music lessons, daycare, and summer tutoring.
  • Maintain accurate program records and organized digital/physical filing systems, including confidential student, medical, and financial information.
  • Support After School Care and enrichment programs through registration oversight and communication with families and staff.
  • Manage logistics, track enrollment and coordinate summer tutoring.
  • Manage private music lessons by supporting scheduling, billing, and reporting.
  • Build and refine registration workflows and communication systems to improve efficiency and user experience.
  • Ensure compliance with school policies, safety protocols, and confidentiality standards.
  • Contribute to the planning and implementation of new auxiliary programs and initiatives.
  • Manage transportation processes including enrollment and family communication
  • Perform additional duties as assigned.
