    Description

    Arlington Heights Ford is looking for an experienced Automotive Warranty Administrator to join our high-performing Fixed Operations team.

    This is not a low-volume warranty desk.

    We operate a busy, fast-paced, high-volume Service Department along with our Ford Pro Elite Commercial Service Center, creating significant warranty, recall, commercial and repair-order activity.

    We are looking for an experienced warranty professional who knows how to keep claims moving, protect dealership gross, maintain compliance and make sure legitimate warranty work gets processed and paid correctly.

    If you have strong automotive dealership warranty administration experience on CDK, understand Ford manufacturer warranty policies and procedures, are highly organized and can handle substantial volume without sacrificing accuracy, we want to talk with you.

    This Is a High-Volume Warranty Position

    The right candidate will be comfortable working in an environment where the day moves quickly and details matter.

    Our Warranty Administrator plays a critical role in the financial and operational performance of the Service Department.

    You'll work closely with Service Advisors, technicians, Parts personnel, Service management and dealership leadership to make sure warranty claims are accurate, complete, compliant, submitted promptly and collected properly.

    This position requires someone who can manage volume, recognize problems before they become chargebacks and follow a claim all the way through payment

    Job Responsibilities

    • Prepare, review and submit manufacturer warranty claims
    • Process Ford warranty repairs in accordance with current Ford Motor Company warranty policies and procedures
    • Review repair orders for proper documentation before claim submission
    • Verify technician stories, concern/cause/correction documentation and required supporting information
    • Verify labor operations, labor times, causal parts and related parts
    • Confirm technician time punches and supporting documentation when required
    • Review warranty eligibility and vehicle coverage
    • Process recalls, field service actions, campaigns and other manufacturer programs
    • Submit warranty claims accurately and within required timeframes
    • Track outstanding, rejected, suspended and unpaid warranty claims
    • Correct and resubmit claims when necessary
    • Follow claims through final payment
    • Reconcile warranty schedules and receivables
    • Identify shortages, deductions and payment discrepancies
    • Work with Service Advisors and technicians to correct incomplete repair-order documentation
    • Maintain required warranty records and supporting documentation
    • Assist with manufacturer warranty audits
    • Help protect the dealership against unnecessary warranty chargebacks
    • Stay current on Ford warranty policies, bulletins, procedures and program changes
    • Maintain organized records for warranty claims and audit support
    • Communicate warranty trends and recurring documentation issues to Service management
    • Help improve warranty processes, claim accuracy and departmental efficiency

    Preferred Qualifications

    • Previous automotive dealership warranty administration experience
    • Ford dealership warranty experience strongly preferred
    • Strong knowledge of automotive repair orders and dealership Service operations
    • Understanding of manufacturer warranty policies and claim-submission requirements
    • Experience reviewing technician and Service Advisor documentation
    • Experience handling rejected claims, corrections and resubmissions
    • Knowledge of warranty receivables and schedule reconciliation
    • Familiarity with warranty audits and chargeback prevention
    • Strong attention to detail
    • Excellent organizational and follow-through skills
    • Ability to prioritize a large workload in a fast-paced, high-volume environment
    • Strong computer and dealership-management-system skills
    • CDK experience preferred
    • Ability to communicate effectively with technicians, Advisors, Parts personnel and management

    Ford warranty experience is a major plus.
