Are you an experienced automotive title professional looking for career growth and long-term stability? Vista Auto Group is seeking a detail-oriented Automotive Title & Accounting Specialist to join our business office team.

This position focuses primarily on processing automotive titles and registrations, with additional responsibilities for bank deposits, document scanning, recordkeeping, and general accounting support.

Pay Range: $22.00–$26.00 per hour, based on experience and qualifications

Position Summary:

The Automotive Title & Accounting Specialist processes vehicle titles, registrations, liens, and related documentation while ensuring compliance with state regulations and dealership requirements. The ideal candidate has automotive title experience, general accounting knowledge, strong attention to detail, and the ability to manage multiple deadlines in a fast-paced environment.

Essential Functions:

Automotive Titles and Registrations

  • Process titles and registrations for new, used, wholesale, and trade-in vehicles.
  • Review title paperwork, purchase documents, lien information, and supporting records for accuracy and completeness.
  • Submit required documentation to state motor vehicle agencies within established deadlines.
  • Process lien recordings and releases, duplicate titles, title corrections, and out-of-state transactions.
  • Maintain accurate title logs and monitor outstanding titles.
  • Work with customers, lenders, auctions, dealerships, and state agencies to resolve missing documents, discrepancies, and registration issues.
  • Answer customer questions related to titles, registrations, and required documentation.
  • Ensure compliance with state regulations, dealership procedures, and applicable legal requirements.

Accounting and Administrative Support

  • Prepare and process daily bank deposits.
  • Scan, upload, index, and organize title, deal, and accounting documents.
  • Maintain accurate electronic and physical records in accordance with company retention requirements.
  • Assist with Accounts Payable, Accounts Receivable, and routine accounting transactions.
  • Research and resolve discrepancies involving payments, deposits, vehicle deals, and title fees.
  • Assist with account reconciliations and month-end closing activities as assigned.
  • Provide supporting documentation for internal and external audits.
  • Support other business office functions as needed.

Communication and Collaboration

  • Partner with sales, finance, accounting, and management teams to obtain complete and accurate documentation.
  • Communicate professionally with customers, financial institutions, auctions, vendors, and government agencies.
  • Provide timely updates regarding missing titles, incomplete paperwork, and outstanding documents.
  • Identify opportunities to improve title-processing and document-management procedures.

What We're Looking For:

  • At least two years of automotive title, dealership business office, or related administrative experience preferred.
  • Automotive dealership title experience is strongly preferred.
  • Knowledge of vehicle titles, registrations, liens, and state motor vehicle requirements.
  • General accounting experience, including bank deposits, reconciliations, Accounts Payable, or Accounts Receivable.
  • Strong computer skills, including Microsoft Excel, Outlook, and document-scanning systems.
  • Experience with a dealership management system is preferred.
  • Excellent attention to detail, organization, and time-management skills.
  • Ability to research issues and follow them through to resolution.
  • Professional verbal and written communication skills.
  • High level of integrity, discretion, and confidentiality.
  • High school diploma or equivalent required; an associate degree in accounting, business, or a related field is a plus.
