The Middle School Activities Coordinator assists the Middle School Athletic Director and Middle School Athletic Secretary in leading, organizing, and supervising the middle school athletic programs. This role ensures smooth daily event operations, manages event staffing and officiating contracts, coordinates logistics and facility scheduling, and serves as a vital point of contact between coaches, administration, visiting schools, and league representatives.
The schedule will vary, based on the season. The role will require approximately 240 hours of work. The position requires the individual to be available to attend meetings between the hours of 7:45 a.m. and 3:00 p.m., as well as after school from 3:00 p.m. - 8:00 p.m., depending on the season.
Responsibilities:
Provide event supervision and game management in coordination with the Athletic Director for all middle school sports, including Football, Volleyball, Cross Country, Soccer, Basketball, Wrestling, and Track.
Greet and assist visiting teams, coaches, and officials upon arrival for scheduled contests.
Confirm that all event infrastructure is fully operational prior to competition, including scoreboards, timers, official scorebooks, table setups, first aid kits, and student accident forms.
Serve as the primary point of contact during events and promptly communicate any safety, sportsmanship, spectator, coaching, or athlete concerns to the Athletic Director.
Send event reminders and logistical details to opposing teams, assigned game officials, and event staff prior to contests.
Recruit, hire, and schedule event workers (scorekeepers, clock operators, line judges, ticket takers, etc.) and track assignments using rSchool.
Issue, track, and manage game officials'' contracts within rSchool to ensure full coverage for all home athletic events.
Compile and submit weekly payroll documentation for officials and event workers to the District Accounting Department in an accurate and timely manner.
Coordinate and schedule practice and contest facilities across district venues, including middle school gyms, elementary/high school spaces, Jim Martin Park, and the High School track.
Collaborate with head coaches and the Athletic Director to establish and distribute comprehensive practice schedules.
Manage direct communication with opponent schools regarding event logistics, game rescheduling, weather updates, and transportation/bus coordination.
Coordinate uniform and athletic equipment distribution, collection, and inventory tracking in partnership with the Athletic Director.
Conduct regular inventory checks of team first aid kits, assemble kits prior to the start of each sports season, and submit supply reorders to the Athletic Secretary.
Act as an active liaison between coaching staff and middle school administration.
Attend all Brown County Sports League meetings, report pertinent updates back to administration, and ensure coaches are educated on league rules and policies.
Support coaching staff by compiling and distributing athlete rosters, event schedules, travel directions, emergency contact details, and administrative forms.
Co-facilitate preseason parent and athlete informational meetings alongside the Athletic Director.
