The Athletics & Activities Assistant performs a wide variety of confidential administrative, operational, and organizational support functions for the Athletics & Activities Director in an effective, efficient, and professional manner. This position serves as a key support role for the daily operations of Greenfield High School Athletics and Activities, helping ensure a positive and organized experience for students, families, coaches, advisors, officials, staff, and community members.
The Athletics & Activities Assistant coordinates and manages the multifaceted administrative components of athletics and student activities while assisting with event operations, communication, scheduling, financial processing, compliance, and program support. The successful candidate will possess strong organizational skills, professionalism, attention to detail, excellent communication abilities, and the ability to work independently in a fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Serve as a primary point of contact for students, parents, coaches, advisors, officials, vendors, staff, and community members in a professional and customer-service-oriented manner.
Provide administrative and operational support to the Athletics & Activities Director and athletics/activity programs.
Maintain accurate records related to athletics and activities, including participation, eligibility, schedules, contracts, staffing, financial records, and program documentation.
Assist with communication and correspondence through emails, letters, newsletters, forms, handbooks, websites, social media, and online platforms.
Coordinate and support athletic contests, events, performances, and student activities, including facility preparation and event operations.
Collaborate with coaches, advisors, custodial staff, facilities, transportation, and community organizations regarding scheduling and operational needs.
Recruit, schedule, train, supervise, and coordinate event personnel including ticket sellers, announcers, scorekeepers, timers, supervisors, and other game management staff.
Coordinate officials scheduling, contracts, communication, payment processing, and game management responsibilities.
Assist with ticketing operations, reconciliation of sales, deposits, invoices, purchasing requests, billing, and other financial processes in accordance with district procedures.
Coordinate transportation, travel arrangements, facility use agreements, and operational logistics for athletics and activities programs.
Assist with monitoring student eligibility, attendance, academic requirements, and compliance-related processes while maintaining confidentiality of student and district information.
Demonstrate professionalism, flexibility, collaboration, and a positive attitude while supporting the mission and goals of the Greenfield School District.
Perform other duties as assigned by the Athletics & Activities Director.
QUALIFICATIONS
Associate's degree required; Bachelor's degree preferred in education, sports management, business administration, communications, recreation, or a related field.
Prior experience in athletics administration, school activities, event management, office administration, customer service, or a related field preferred.
Strong organizational, communication, multitasking, customer service, and problem-solving skills.
Ability to work independently and collaboratively in a fast-paced environment while maintaining professionalism, flexibility, confidentiality, and attention to detail.
Knowledge of interscholastic athletics, student activities, WIAA procedures, and event operations preferred.
Proficiency with Google Workspace, Microsoft Office, and online scheduling, registration, ticketing, and communication platforms preferred.
Ability to work evenings, weekends, and irregular hours associated with athletic contests and school activities.
Valid driver's license preferred and ability to successfully complete district-required background checks and training.
