Position Summary:
The Assistant Director's main duties include operations/occupancy and the residential life experience in the Office of Housing & Community Standards.
Reporting directly to the Director of Housing & Community Standards, the Assistant Director serves as a senior professional staff member responsible for the day-to-day operational functions of coordinating and directing matters related to the housing and facilities for all residence halls, apartments, and meal plans. This position oversees all occupancy management functions for the Department, including future projections, bed space allocation, budget projections related to bed space utilization, and weekly/semester occupancy updates.
This position counsels and advises students/constituents regarding housing assignments, roommates, accommodations, etc. The Assistant Director also manages the department's communication and information systems, including eRezLife. They coordinate summer, guest, and conference housing functions. This position helps to develop, update, and maintain the Housing applications, marketing materials for housing selection, housing/dining agreements, office policies and procedures manual, and other catalogs and documents.
This position oversees the planning, development, and implementation of the residential programming model, ensuring a supportive and enriching environment for students living on campus. With supervision of the para-professional staff, they are responsible for the overall well-being, academic, social, and personal development of students within the residence halls.
This position serves in the absence of the Director and serves as a member of the department crisis response team and assumes a rotation of the on-call schedule. They help to ensure compliance with all University/Board policies and local, state, and federal laws.
Duties & Responsibilities:
- Oversees all duties related to StarRez, Housing selection, assignments, and other tasks related to occupancy and operations.
- Serves, with the Director and Area Coordinator, as the central management team in developing, implementing, and evaluating departmental goals, policies, organization, and programs.
- Represents the department on university committees and on special projects as appointed by the director.
- Supervises the housing assignment/agreement processes and provides statistical analyses of occupancy; Liaison with StarRez, the housing software management system.
- Assists in overseeing all occupancy management functions for the department including future space projections, bed space allocation, budget projections related to bed space utilization, and regular occupancy updates.
- Works with students, constituents, and other members of the university community in determining housing needs.
- Supervises the communication of assignment and other services and processes information to all constituents; ensures a high level of customer service.
- Coordinates with the Business Office in matters of fees, billing, damages, meal plans, rent structures, housing/dining agreements, and budget matters.
- Plans and coordinates all aspects of the department's needs as it relates to residential management.
- Organizes and develops training sessions in the department.
- Oversees special programs and initiatives.
- Works with University Police, the campus counselor, and administrators often as it pertains to risk management and crisis situations.
- Serves on an on-call duty rotation to handle emergencies.
- Some duties will require the Assistant Director to work at night and on the weekends, due to events, activities, emergencies, etc.
- Helps with the housing agreement, assignment, and billing process for camps, conferences, and other guests.
- Assists in developing, implementing, and supervising housing/dining review processes and appeals.
- Supervises the department's opening and closing procedures for the residence halls/apartments and other department-wide events as needed.
- Supervises the development and update of the housing application and marketing materials; office policies and procedures manuals; housing/dining agreements; and other university and department catalogs, bulletins, etc.
- Coordinates the department's research, benchmarking, and strategic planning efforts.
- Assists with the development, implementation, and evaluation of budgets.
- Serves as a member of the departmental recruitment team; attends orientation programs and university recruitment events as directed.
- Participates in Housing & Community Standards weekly meetings, planning meetings, departmental policy meetings, and more.
- Performs other duties as assigned.
Supervision:
- This position directly supervises one Graduate Assistant (GA) and co-supervises five to eight additional GAs, student office employees, and 28-35 Resident Assistants
Knowledge/Skills/Abilities:
- Knowledge of basic housing administration and use of technology, including Banner, database management, and other software applications.
- The Assistant Director must be proficient in working with eRezLife, including main functionality, administrative work, running reports, and more.
- Should have experience in student conduct procedures and how to work effectively in adjudicating cases, in the absence of the Director.
- Experience working with other Housing software.
- Knowledge of student development, advising, human relations, information systems and processing, conflict resolution, management, marketing, budgeting, strategic planning, etc.
- An understanding of basic university policies and procedures.
- Insight and commitment to the objectives of higher education and university housing, along with residence education.
- Ability to communicate with and analyze the performance of a diverse group of residents and employees.
- Ability to mediate and resolve problems.
- Capability to effectively select, train, supervise, and evaluate personnel.
- Competent in assessing and reacting in emergency situations. The Assistant Director must have experience with crisis management.
- Ability to communicate effectively both written and orally.
- Skills related to interpreting and refining policies and procedures.
- Capacity to work in a high stress/fast-paced environment.
- Possess solid analytical skills and attention to detail.
- Ability to maintain confidentiality in all work performed.
- Must follow-through timely and effectively on all assignments.
- Ability to multi-task, prioritize work assignments, delegate, and achieve quality outcomes.
- Must be proficient in the Microsoft Office Suite and general office management software.
General Days/Hours:
Monday - Friday
8:00 a.m. - 5:00 p.m.

Regular and reliable attendance
Other:
- Apartment within one of the residence halls; will not have to directly manage this residence hall or staff. The Assistant Director is not required to reside on campus but must live within 10 minutes due to the on-call rotation.
- 15-17 meals/week in the dining hall

Minimum Qualifications:
- An earned Bachelor''s degree.
Preferred:
- Master's degree in college student personnel, higher education, management, business, public administration, or related field of study.
- Have progressively held responsible leadership positions, with at least three years of full-time experience in a college/university environment is essential.
- At least three years' work experience in a college/university housing and residence life program.
- Must have experience supervising staff.
- Those with housing occupancy and residence education experience are preferred.
