    Private Client Service Associate

    Overview

    This Private Client Associate role is an ideal opportunity for a highly motivated individual to join a growing and respected private client team for a a federally registered investment advisor managing individually managed accounts and mutual funds. This individual will serve existing and prospective clients of the firm in coordination with other members of the private client group with an exemplary degree of professionalism and compassion. A strong team player and communicator, the Private Client Service Associate will partner actively across a dynamic platform to deliver an outstanding client experience. This is an ideal opportunity for someone interested in expanding their skill set in wealth management and financial services.

    Primary Responsibilities

    • Client and Relationship Support: Support existing and prospective clients with professionalism, responsiveness, discretion, and care as a client-facing member of the Private Client Group.
    • Client Requests and Account Administration: Coordinate and process client requests, account updates, new relationship onboarding activities, maintenance items, cash movements, stock gifts, account transactions, and related documentation in accordance with internal procedures and approval requirements.
    • Mutual Fund Shareholder Support: Provide day-to-day service and operational support to mutual fund clients, including account maintenance, transactions, documentation, and inquiry resolution.
    • Advisor and Internal Support: Support internal advisors and Private Client team members by preparing meeting materials, coordinating follow-up items, tracking open tasks, and helping ensure client needs are addressed timely and accurately.
    • Custodian and Internal Coordination: Work with custodians, transfer agents, and internal departments to support account openings, transactions, transfers, reporting access, issue resolution, and other client service needs.
    • Documentation, Controls, and Audit Trail: Prepare, review, route, and maintain client and account documentation with attention to accuracy, completeness, signer authority, compliance requirements, approval requirements, and clear audit trail standards.
    • Client Meeting Materials: Assist with the preparation, quality review, secure delivery, and follow-up of client meeting materials, including agendas, portfolio reports, and other client-facing materials.
    • Systems, Workflow, and Data Integrity: Use Salesforce, custodian platforms, reporting portals, secure delivery tools, and internal systems to manage workflows, track status, document activity, maintain accurate records, and support timely follow-through.
    • Exception Management and Escalation: Identify, research, document, and escalate incompleteinformation, processing issues, reporting discrepancies, custodian exceptions, client concerns, and other matters requiring additional review or resolution.
    • Process Improvement and Team Support: Support the development and improvement of Private Client processes, checklists, templates, workflows, training materials, and other resources that promote consistency, scalability, risk control, and a strong client experience.
    • Perform other duties and special projects as assigned.

       

      Qualifications

    • Experience and/or education equal to a Bachelor’s degree
    • Required three years, prefer four or more years of financial services experience
    • Knowledge of investment industry, securities and mutual funds preferred
    • Client service or operations experience preferred
    • Excellent verbal, written and interpersonal communication skills
    • Organizational, analytical, and creative problem-solving abilities
    • Excellent attention to detail and superior organizational skills with consistent follow-through
    • Ability to multi-task and prioritize while delivering consistently high-quality work
    • Strong technical skills with Microsoft Office (especially Excel) and CRM (preferably Salesforce)
