    This role supports the Virgin Music Group’s Global Sync team on a day-to-day basis. Success in this area requires a basic knowledge of sync, an acute understanding of our clients and partners music and responsibilities, and a proactive approach to our department goals. 

    Responsibilities (include but are not limited to the following):

    Creative:

    • Create department marketing materials (new music mailers, artist spotlights, new partnership announcements, themed playlists, sync alerts, etc.)
    • Manage mailer calendar and proactively keep team across ongoing preparation ahead of send dates.
    • Listen to weekly new releases and circulate weekly audio highlights to internal team with detailed album/single overviews.
    • Track upcoming shows, maintain invite lists, and guest lists.
    • Organize artist showcases and events at agencies, film, tv and streaming studios internally and at third party venues.
    • Manage label and artist assets for DISCO - listen, evaluate, ingest, and tag metadata.
    • Liaise with internal and external teams, and artist management, to ensure all roster assets are current – obtaining mains, instrumentals, cleans, WAV formatted files.
    • Track projects, film & tv productions and sync music trends via online trades and research and update sync team regularly.
    • Build and maintain pitch decks and show-reels.
    • Creative admin on incoming briefs as needed.
    • Foster and maintain relationships with music and entertainment professionals within Virgin Music Group and across all areas of music and media.
    • Attend industry events such as conferences, panels, showcases and mixers

    Licensing:

    • Generate sync activity reports – pitch log, licensing activity
    • Entering updates in the Sync tracker from Universal supply chain reports (FTVL)
    • Enter quote requests, confirmations, and airdates in Sync Tracker.

    Support:

    • Process expenses, coordinate schedules and travel.
    • Keep contact lists up to date.
    • Departmental scheduling as needed
    • Other additional projects and tasks deemed necessary to support team

    Qualifications:

    • Experience in administrative and departmental support within the entertainment industry with a good understanding of the basic functions of a record label, publisher, major studio, music supervision firm and/or sync agency.
    • Hardworking, organized, and self-motivated individual.
    • Excellent written and verbal communication skills and attention to detail.
    • Creative, innovative, and resourceful – must be able to multi-task and move preemptively to best support the department.
    • Must have a deep understanding of current cultural, musical, and sub-genre trends, a bonus for interest in technologies and general market trends.
    • Broad, eclectic music taste, preferably with an interest in indie, alternative, electronic, R&B and hip hop.
    • Must have a desire and be available for after-hour meetings, shows, and events.
    • Knowledge and interest in tastemakers and critical players in the sync community.
    • Experience with Airtable, Box, DISCO, Excel, Google Docs, Outlook, PowerPoint, Photoshop, Slack strongly desired.
    • BA degree preferred, with training and experience in related fields and/or educational disciplines.
