Job Description Summary:

The Associate Director of the Enterprise Project Management Office (EPMO) will lead a team of program managers, project managers and business analysts who plan, manage, and execute institutional programs and projects within budgets and timelines. The role also serves as an internal business consultant responsible for leading select cross-department, medium to large projects to improve business efficiencies, processes, and operating models. The EPMO works to identify and deliver improvements across the enterprise. The EPMO works closely with business and academic units to align business and academic objectives with IT strategies, and with the Office of Information Security to ensure new projects are developed and implemented to meet both KUMC and State of Kansas required information security standards. The Associate Director of EPMO is a working associate director position and actively manages projects (0.25 FTE) in addition to leading the EPMO (0.75 FTE).

The focus of the EPMO is on programs and projects that support the institution. Projects include technical solutions, process improvement, new solution identification, and other projects to change/improve business functions and capabilities. Programs focus on the management or oversight of multiple related projects that map to business objective(s) that improve organizational performance related to risk, budget, organizational strategy, communication, and optimizing resources. The EPMO seeks to identify and leverage connections between business needs in different KUMC departments to maximize program and project potential and is responsible for the entire program and project life cycle.

Job Duties:

EPMO Leadership

• Lead EPMO strategy, ensure service and product quality, and collaborate with IT Governance to prioritize competing service demands.
• Manage and supervise EPMO team members, including assignments, performance feedback, and career development.
• Build and sustain an EPMO team culture that promotes collaboration, accountability, and support.
• Foster collaborative relationships across Information Technology, Office of Information Security, campus leadership, administrators, faculty, researchers, staff, students, and other stakeholders.
• Ensure successful program and project delivery through EPMO practices and oversight.
• Manage department finances and budget conscientiously.
• Design, develop, and document improved processes, automated workflows, and operating models.
• Manage Kansas Information Technology Office (KITO) documentation requirements for projects requiring Kansas state filing, including high-level, detailed, and quarterly updates.
• Build and maintain customer and stakeholder satisfaction with EPMO services and support.

Project Management (Self and Team)

• Provide program and project management leadership by developing project plans, charters, communication plans, and coordinating project activities, meetings, and work sessions.
• Engage executive sponsors during project initiation and throughout project delivery as needed.
• Define data and information management requirements to support effective business integration.
• Ensure alignment of business and technical requirements throughout planning and execution.
• Communicate program and project expectations clearly and consistently to team members and stakeholders.
• Create reports and presentations for management and executives to provide updates, support decisions, achieve acceptance, and obtain key decisions.
• Provide project planning analysis to define project costs, ROI, and prioritization.
• Assist program and project owners and sponsors in defining budgets, risks, and issues prior to kickoff, and manage programs and projects accordingly.
• Conduct lessons learned sessions and develop recommendation reports to identify successful project elements and improvement opportunities.
• Manage program and project scope changes, identify potential risks, manage issues, develop mitigation and contingency plans, and communicate changes effectively to steering committees, program and project owners, sponsors, and stakeholders.
• Maintain collaborative relationships with customers and key stakeholders to support shared visions and goals.
• Maintain awareness of project management and technology trends, tools, and practices, and share relevant updates with campus stakeholders.
• Promote innovation throughout project development and delivery.

Required Qualifications

Work Experience:

• Four (4) years' experience in business administration, computer science, or related field. Relevant education may substitute for experience on a year for year basis.
• Five (5) years of relevant project management experience.
• Supervisory or mentorship experience.
• Experience in IT project management.
• Experience in a work environment requiring comprehensive knowledge of managing programs or projects; software development life cycle including business, system, and process analysis; and designing IT operational processes.
• Experience using Microsoft Word, Visio, Excel, PowerPoint, Project, and SharePoint; or similar applications and systems.

Preferred Qualifications

Education: Master's degree in business administration or computer science

Certifications/Licenses:

• Six Sigma certification
• PMP certification
• CBAP or PMI-PBA

Work Experience:

• Experience building or managing a project management office, project managers, and business analysts.
• Experience in information technology in an academic medical center or a research university.
• Experience understanding and communicating complex business process requirements and specifications.
• Experience creating structure and direction when requirements are ambiguous or project scope is unclear.

Compensation Statement:

The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
