The ideal candidate is organized, analytical, and capable of managing multiple priorities in a fast-paced environment. Experience with route settlement, cash reconciliation, or transportation accounting in a retail, wholesale, distribution, or shared services environment is preferred.

 

Primary Responsibilities

  • Perform daily audits of company routes to ensure all handheld import files are uploaded accurately and timely into the company's financial systems.
  • Review and reconcile route activity, including ending inventory, sales transactions, route deposits, route over/short balances, load error adjustments, and dump verifications.
  • Conduct daily audits of distributor routes to ensure all ticket information is processed accurately and recorded in the appropriate systems.
  • Verify receipt of all Proof of Delivery (POD) documentation, including store-stamped tickets and backroom paperwork, on a daily basis.
  • Investigate, reconcile, and resolve route over/short balances in a timely manner.
  • Communicate with branch distribution supervisors and route personnel via phone, email, and other communication channels to resolve discrepancies and obtain supporting documentation.
  • Prepare payroll deduction adjustment documentation related to cash and product shortages for management review and approval.
  • Maintain accurate records and supporting documentation in accordance with company policies and audit requirements.
  • Assist with process improvement initiatives that enhance accuracy, efficiency, and compliance within the route settlement process.
  • Effectively manage multiple tasks and deadlines in a high-volume office environment.

 

Qualifications

  • High School Diploma or GED required; associate degree in accounting, business, or a related field preferred.
  • Previous experience in route settlement, accounts receivable, cash reconciliation, distribution accounting, or a related function preferred.
  • Familiarity with route settlement processes, inventory reconciliation, and general ledger coding is a plus.
  • Strong mathematical aptitude and proficiency with 10-key data entry.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook; experience with Adobe Acrobat preferred.
  • SAP or other ERP financial system experience is beneficial.
  • Exceptional attention to detail with strong problem-solving and analytical skills.
  • Ability to work effectively in a fast-paced environment while maintaining a high degree of accuracy.
  • Strong written and verbal communication skills, including proofreading and follow-up capabilities.
  • Ability to work collaboratively with employees at all levels of the organization.
  • Bilingual English/Spanish communication skills are a plus.
