JOB SUMMARY

Under the general direction of the school principal or designee, performs highly responsible administrative support involving the organization and administration of a large public high school's administrative office. This role involves supervising clerical staff and coordinating various departmental operations, including payroll, financial record keeping and interdepartmental financial transactions. Acts as liaison between the Principal, Assistant Principal, staff, students, parents and external stakeholders, ensuring smooth communication and efficient resolution of issues.

EXAMPLES OF DUTIES

  • Support the Principal of a High School including but not limited to managing calendar, triaging student, and parental issues, and acting as gateway to administration.
  • Coordinate priority items with cabinet level departments including Office of the Superintendent and Assistant Superintendent.
  • Assist in facilitating events such as Graduation, Senior Awards, Teacher Appreciation Week, etc.
  • Ensure that all school-related forms are properly filled out and complete before being signed by the Principal or Assistant Principal.
  • Oversee all summer activities including letters, schedules, etc.
  • Coordinates all departmental business operations including payroll, central supply, financial record keeping, and the preparation of all interdepartmental financial transactions.
  • Assists in formulating and monitoring departmental budget, including coordinating staff work related to preparation of final departmental budget.
  • Assist with monitoring Departmental budget expenditures to assure compliance with appropriations, providing periodic reports of budget status. Maintains liaison with Purchasing Department, Finance Department, contractors, and vendors. Assists Accounting Office personnel with telephone inquiries and/or complaints from vendors.
  • Responsible for the accurate and timely completion and submission of payroll; oversees the processing of contract payments, grant payments and executes other financial responsibilities. Responsible for preparation of special reports, performing research, analyzing, and compiling of data and drafting related documents and correspondence.
  • Coordinates Worker's Compensation information, leave reports and programs.
  • Serves in a liaison capacity to Department of Human Resources regarding requests to fill, including but not limited to, vacancies; coordinates selection of recommended interview panelists as required and follow up with appointees as indicated.
  • Assists in preparation of State and Federal grant applications in collaboration with Departmental personnel as required.
  • Coordinate and implement the latest aspects of data processing software and hardware including maintaining office equipment and serving as a liaison with the IT Department.
  • Responds to inquiries from other departments and the public, resolving problems within the scope of responsibility and providing information and/or making decisions within established policies and procedures.
  • Performs other duties as assigned and may perform specialized duties as required.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER ATTRIBUTES

  • Considerable knowledge of business office principles and accounting practices of local government administration, including budget, preparation, and expenditures.
  • Considerable knowledge of municipal office operations, policies, methods, and procedures; thorough knowledge of municipal record keeping, governmental accounting and record maintenance procedures.
  • Working knowledge of a specific industry or field as it relates to business office practices.
  • Skilled in the operation of a personal computer for word processing, computerized reports, spreadsheets, and various business software products and standard office equipment.
  • Ability to provide training support to departmental employees in various computer applications and databases used within the department.
  • Highly skilled and tactful in resolving complex problems related to students and parents.
  • Ability to act as liaison to various stakeholders and ensure effective communication.
  • Ability to research information, analyze data, and present reports.
  • Ability to set priorities, direct and evaluate the work of the staff and provide training support.
  • Ability to work within a team environment and establish effective working relationships with supervisors, subordinates, associates, vendors, officials of other agencies and the general public.

MINIMUM QUALIFICATIONS

Associate degree from an accredited college or university and a minimum of five (5) years of progressively responsible experience in an office or business management position which includes supervisory experience or an equivalent combination of experience and education.

SCOPE OF EXAMINATION: There will not be a written examination

This position is being posted in accordance with the applicable UAW collective bargaining agreement governing vacancies in positions to which appointments are customarily made without examination.

INTERNAL POSTING AND SELECTION PROCESS: When a vacancy exists in a position to which appointments are customarily made without examination, the position shall first be offered to qualified employees in the same department in which the vacancy exists, in order of seniority.

If no qualified employee within the department accepts the position, the vacancy shall then be offered to qualified employees outside the department but within the applicable bargaining unit, also in order of seniority.

Where the City has five (5) or more internal candidates on a certified list, the City will select the most senior qualified internal candidate for the first appointment from the certified list. Thereafter, the current practice will continue in accordance with the applicable collective bargaining agreement.
