    Position Purpose 

    Develops full project-management capability while supporting Restoration Project Managers with inspections, scope development, documentation, customer communication, scheduling, estimating, approvals, production coordination, and closeout. The Assistant Project Manager manages assigned activities or lower-complexity projects within defined approval limits and under active mentorship. 


    Essential Responsibilities 

    • Respond to assigned leads and job requests promptly and support required customer-contact and onsite-compliance steps. 
    • Participate in or conduct supervised inspections; identify affected materials, safety concerns, category/class conditions, required documentation, and recommended next actions. 
    • Create or assist with written scopes, sketches, equipment plans, work authorizations, job notes, photo documentation, and preliminary estimates. 
    • Use Restore365, Xactimate, DocuSketch, OnTheWay, and other assigned systems accurately and within required timelines. 
    • Provide customers with clear expectations regarding the restoration process, scheduled activities, access, documentation, and next steps without making unauthorized coverage promises. 
    • Coordinate crews, equipment, materials, subcontractors, monitoring, specialty testing, consultants, and inspections under Project Manager direction. 
    • Review daily field notes, photos, moisture records, equipment logs, labor, and material usage for completeness and follow up on gaps. 
    • Visit active jobs to verify safety, scope, quality, progress, customer experience, and crew needs. 
    • Maintain daily customer communication and record material conversations, decisions, delays, and approvals in the job file. 
    • Track assigned jobs through pre-production, work in progress, invoice pending, and closeout activities; keep schedules and projected dates current. 
    • Assist with estimate review, revision requests, supplements, change documentation, billing-package preparation, payment requests, and collection follow-up. 
    • Participate in PM Academy activities, technical certifications, coaching, file audits, and demonstrated competency assignments. 
    • Support emergency response, on-call management, and cross-department handoffs when assigned. 

    Decision Authority and Escalation 

    • May coordinate approved project activities and manage assigned lower-complexity projects after competency approval. 
    • Estimate, pricing, contract, credit, discount, major scope, subcontractor, and customer-resolution decisions remain subject to the assigned Project Manager or designated leader’s approval until authority is formally expanded. 
    • Must escalate coverage disputes, legal threats, safety incidents, regulated-material concerns, significant budget variance, and high-risk customer issues. 

    Performance Expectations 

    Performance is evaluated through the applicable Employee Competency Management System (ECMS) competency worksheet, position scorecard, core-values evaluation, coaching records, and demonstrated results. Primary areas include: 

    • Timeliness and accuracy of customer contact, inspections, notes, photos, tasks, and system updates. 
    • Quality of scopes, documentation, estimates, scheduling support, and production coordination. 
    • Daily customer communication and effective expectation management. 
    • Completion of PM Academy milestones, certifications, and assigned competency demonstrations. 
    • Readiness to independently manage project profitability, compliance, cycle time, and closeout as a Restoration Project Manager.

    Minimum Qualifications 

    • High school diploma or equivalent required; associate or bachelor’s degree in construction, business, project management, or a related area preferred. 
    • Restoration field leadership, construction, estimating, coordination, insurance-claim, or customer-service experience preferred. 
    • IICRC WRT required or obtained within the company timeline; FSRT and IICRC Trauma certification are development expectations based on assignments. 
    • Basic knowledge of building materials, moisture behavior, demolition, cleaning, job documentation, and restoration workflows. 
    • Ability to learn Xactimate estimating software and company operating platforms, manage priorities, and communicate with customers, carriers, consultants, and crews. 
    • Valid driver’s license and insurable driving record. 

    Physical Requirements 

    • Regular travel and jobsite inspections with occasional participation in field activities. 
    • Ability to lift and carry up to 40 pounds, climb stairs and ladders, and access affected areas when safe and necessary. 
    • Ability to wear job-appropriate PPE and respiratory protection when medically cleared and fit-tested. 

    Work Environment and Schedule 

    • Work may occur in residential, commercial, institutional, industrial, and disaster-affected environments. 
    • Regular exposure may include water-damaged materials, dust, odors, noise, temperature extremes, confined areas, and emotionally stressful customer situations. 
    • Must use assigned personal protective equipment and comply with company safety programs, hazard assessments, and applicable regulations. 
    • Must be able to work a flexible schedule, including occasional evenings, weekends, holidays, travel, and on-call assignments as required by the position.

Related duties may be assigned based on business needs, training, and qualification.
