Job Summary: The Assistant Regional Property Manager is responsible for supporting and co-managing all aspects of the property management division in partnership with the Regional Property Manager. This involves the oversight of all multi-family, single family and commercial rental properties. This position works with property staff to maintain residential units, which involves solving resident issues efficiently while ensuring proper maintenance occurs on buildings and facilities to prevent future issues. The Assistant Regional Property Manager is also responsible for assisting in the development of maintenance plans, maintaining safety standards, and updating and maintaining proper records. In addition, this position also ensures the properties meets all regulatory standards, insuring communities are occupied and profitable, implementing policies, procedures and practices to enable each property to meet budgeted financial goals and achieve operational performance objectives. This position reports directly to the Regional Property Manager and CEO and works collaboratively in the co-management of assigned properties and teams. Essential Functions/Accountabilities: Determine property maintenance requirements, review contractor bids and negotiate maintenance contracts. Coach, counsel and discipline employees and monitor and appraise job results by directing staff job results under the guidance of the Regional Property Manager and CEO. Develop and manage common area maintenance budget and operate within budget constraints. Oversee portfolio's operational and financial performance to ensure achievement of established objectives. Coordinate a communication system for Property Managers and Corporate Office activities. Assist with and support on-site personnel hires, status changes and terminations. Monitor, support and suggest marketing improvements and review and suggest rent schedules. Review and approve expenditure within budget and negotiate and evaluate contracts. Conduct meetings, develop and execute property management departmental training programs. Staff and set up new communities. Provides overall direction and supervision of day-to-day operations with oversight responsibility for management of the properties alongside the Regional Property Manager. Ensures timely and accurate reporting for portfolio including vacancy and budget variances, staffing needs, and others as needed. Regularly visits site offices, inspects field operations and reviews periodic reports from community managers to determine progress of occupancy and maintenance projects. Monitors and ensures adherence to all policies and procedures related to compliance with the Landlord Tenant Act and Fair Housing practices. Responsible for resolving resident relation issues and escalated complaints from residents. Assists in or develops corrective programs for properties, when needed. Supervises and coordinates preparation of annual department budget. Supports the Regional Property Manager in the daily operations and strategic oversight of assigned communities and property staff. Acts as a liaison between on-site teams and the Regional Property Manager to ensure consistent communication and operational efficiency. Competencies: o Excellent written, oral communication and presentations skills. o Ability to manage effective teams and develop strategic solutions. o Ability to collaborate effectively with the Regional Property Manager and CEO and support multiple site teams simultaneously. Leadership Supervisory Responsibility: o This position assists with managing employees of the department and supports performance management, employee development and hiring processes within the department under the direction of the Regional Property Manager and CEO. Work Environment: This job mainly operates within an office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear, frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms. Frequently required to sit and climb stairs to access multi-floor tenant units. Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Requires occasional standing and climbing up/downstairs. Position Type/Expected Hours of Work: Hours can vary per assigned community. Typically, Monday through Friday 8:00 a.m. to 5:00 p.m. and weekend work as needed. Travel Travel is primarily local during the business day Work Authorization: Must be eligible to work in the United States Minimum Requirements: Three years’ experience in a Resident Manager role with increasing managerial responsibility A passion for providing exceptional customer service while upholding industry and company standards and compliance The availability to work a flexible schedule including some nights and occasional weekends.
