RFA Asset Management is seeking a forward-thinking Assistant Property Manager who takes initiative, anticipates needs, and helps drive the successful operation of a commercial real estate portfolio.

This is an excellent opportunity for someone who enjoys working across tenant relations, lease administration, financial reporting, and property operations. You'll work closely with the Property Manager, Engineering, Accounting, Tenants, and Vendors to deliver exceptional service while helping optimize building operations, strengthen tenant relationships, and enhance portfolio performance.

What You'll Do

As a key member of the Arizona Property Management team, you will:

Tenant & Vendor Relations
  • Serve as a primary point of contact for tenants, vendors, contractors, and visitors.
  • Respond to tenant inquiries and coordinate service requests through the Commercial Cafe Work Order system.
  • Coordinate tenant move-ins, move-outs, parking assignments, building access, and directory updates.
  • Prepare tenant communications, notices, and welcome and move-out packages.
  • Coordinate vendor services, obtain bids and proposals, maintain service contracts, and assist in monitoring vendor performance.
Financial & Lease Administration
  • Support commercial lease administration, including reviewing lease abstracts, interpreting lease requirements, and monitoring lease compliance.
  • Process tenant billings, cash receipts, deposits, invoices, and other property-related transactions.
  • Assist with CAM reconciliations, operating expense recoveries, rent collection, and follow-up on outstanding tenant balances.
  • Support annual budgeting, financial analysis, variance reporting, and operating expense tracking.
  • Assist in preparing monthly property reports, including financial variances, operational updates, tenant activity, and occupancy reporting.
Operations & Property Support
  • Assist with property inspections and coordinate follow-up on maintenance, janitorial, life safety, and other operational deficiencies.
  • Support preventative maintenance, property projects, and operational improvement initiatives.
  • Maintain accurate lease files, tenant and vendor records, contracts, Certificates of Insurance, W-9s, and other compliance documentation.
  • Prepare reports, spreadsheets, contracts, and other property management documentation.
  • Support special projects and initiatives focused on improving operating efficiency and the tenant experience.
Qualifications
Education
  • Associate's or Bachelor's degree in Business, Real Estate, Property Management, or a related field preferred; or
  • Equivalent commercial property management experience will also be considered.
Experience & Skills

  • Three (3)+ years of commercial property management experience preferred.
  • Working knowledge of commercial lease administration, CAM reconciliations, operating expenses, budgeting, and contract administration.
  • Strong financial aptitude with experience supporting tenant billings, invoice processing, reconciliations, budgets, and financial reporting.
  • Experience with Yardi Voyager, CommercialCafe, or comparable property management software preferred.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Excellent written and verbal communication skills with a strong customer-service orientation.
  • Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proactive, adaptable, and able to work independently while collaborating effectively across teams.
