Summary
The Property Management Specialist provides routine financial, administrative, and operational support for commercial property management activities. The ideal candidate has experience in commercial real estate operations, property accounting, lease administration, vendor management, and MRI systems, and can effectively support a fast-paced property management team.

Position Overview
The Assistant Property Manager will support the Property Management team in the day-to-day financial, administrative, and operational management of a commercial property. This role is responsible for accounts payable processing, lease administration, tenant and vendor coordination, contract management, and ensuring compliance with property management procedures and accounting practices.

Team Structure
  • 5-person property management team
  • Reports to Property Manager and Assistant Manager

Key Responsibilities
Accounts Payable & Financial Administration
  • Process and manage property-related invoices.
  • Submit invoices through P2P (Procure-to-Pay) for payment processing.
  • Review, code, and provide detailed descriptions for invoices using proper GL accounts.
  • Verify utility invoices (water, sewer, irrigation, electric, gas) are received and uploaded monthly.
  • Maintain utility invoice tracking spreadsheets.
  • Initiate start/stop requests for utility services on vacant spaces as needed.
  • Prepare manual billing forms (MBFs) for recurring monthly charges.
  • Generate tenant bill-back packages.
  • Meet monthly with the Property Manager to review Accounts Receivable (AR).
  • Follow up with tenants regarding outstanding balances.
Lease Administration
  • Prepare lease abstracts and submit them to management for review.
  • Maintain accurate lease records and documentation.
  • Assist with booking annual taxes and operating expenses to tenants.
Contract & Vendor Management
  • Create and maintain service contracts in P2P.
  • Schedule vendors after contract approval.
  • Collect W-9 forms from new vendors.
  • Prepare Vendor Maintenance Authorization (VMA) requests.
  • Maintain vendor records and documentation.
Certificate of Insurance (COI) Management
  • Collect, track, and maintain tenant and vendor COIs.
  • Ensure compliance with COI requirements outlined in leases and Property Management Agreements (PMAs).
Property Management Operations
  • Maintain property management (PM) books and records.
  • Support compliance efforts within Pulse and other property management systems.
  • Prepare recurring charges, FIFs, and related billing documentation.
  • Coordinate tenant and vendor correspondence.
  • Prepare default letters, OPX estimates, reconciliation letters, and other property-related communications.
  • Support additional property management projects and tasks as assigned.

Required Qualifications
  • Bachelor's Degree required.
  • 1-2 years of commercial property management experience.
  • Experience with property management accounting and financial processes.
  • Working knowledge of commercial building operations.
  • Proficient understanding of MRI software.
  • Understanding of property-level accounting principles.
  • Proficiency with Microsoft Office Suite.

Preferred Qualifications
  • Strong attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Experience working with tenant and vendor relations.
