The Assistant Project Manager is a key member of the Meyer Development, LLC construction team, supporting the Senior Director of Construction in the planning, coordination, execution, and closeout of construction and development projects. This position helps keep projects organized and moving forward by coordinating documentation, permitting, schedules, subcontractors, vendors, materials, inspections, and other day-to-day project needs.
Essential Duties and Responsibilities
Project Coordination & Documentation
· Maintain accurate and organized project documents, including contracts, permits, drawings, change orders, schedules, invoices, inspection records, and closeout documentation.
· Establish and maintain project logs, trackers, calendars, contact lists, and other project controls.
· Track project milestones, deadlines, open items, inspections, approvals, and deliverables.
· Assist with project scheduling and follow up with responsible parties to help keep projects on track.
· Coordinate meetings, site visits, inspections, deliveries, and other project activities.
· Prepare meeting agendas and minutes and track resulting action items.
· Assist with project startup and closeout activities, including collection of warranties, certificates, permits, and other required documentation.
· Identify missing information, approaching deadlines, potential delays, and unresolved issues and communicate them promptly.
Permitting & Municipal Coordination
· Communicate with municipalities, building departments, inspectors, utility providers, and other authorities as needed.
· Coordinate required inspections and maintain records of permits, approvals, inspection results, and related correspondence.
· Assist with obtaining certificates of occupancy and other project completion approvals.
Contractor, Vendor & Procurement Coordination
· Serve as a liaison between Meyer Development, superintendents, subcontractors, vendors, suppliers, and other project stakeholders.
· Follow up regarding schedules, documentation, pricing, deliveries, open items, change orders, RFI’s, and project requirements.
· Obtain vendor quotes, pricing, product availability, and lead-time information.
· Order and track construction materials, equipment, fixtures, supplies, and other project needs.
· Coordinate deliveries and proactively follow up on delayed, backordered, damaged, or incorrect materials.
General Construction & Operational Support
· Provide day-to-day administrative and operational support to the Senior Director of Construction and construction team.
· Assist with field coordination, documentation of site conditions, deliveries, and other project needs.
· Help resolve day-to-day coordination issues and urgent needs that could impact project schedules or operations.
· Take ownership of special projects, research, administrative tasks, field support, and other assignments as needed.
· Perform any other duties as assigned by the Senior Director of Construction or company leadership based on project, departmental, and business needs.
Qualifications
· High school diploma or equivalent required; college coursework or a degree in construction management, business, project management, or a related field is preferred.
· Previous experience in construction administration, project coordination, development, or a related role preferred.
· Proficiency with Microsoft Word, Excel, Outlook, and Teams.
· Strong organizational and time-management skills with excellent attention to detail.
· Ability to manage multiple projects, deadlines, and changing priorities in a fast-paced environment.
· Strong written and verbal communication skills.
· Strong follow-through, initiative, and problem-solving skills.
· Basic knowledge of construction terminology and processes preferred.
· Experience with permitting, vendor coordination, or construction documentation is a plus.
· Must be dependable, punctual, professional, and comfortable working independently and as part of a team.
· Must be flexible and willing to perform a broad range of responsibilities based on construction and company needs.
