PRIMARY FUNCTION:
Under the supervision and direction of the 21st Century Project Director, the Assistant Project Director supports the day-to-day implementation and operation of BGCTX’s 21st Century Community Learning Center – Texas ACE Program across funded sites. The position assists in carrying out established program directives, priorities, and expectations while supporting program implementation, site operations, grant compliance, data collection, reporting, and program quality, as established by the Chief Operating Officer (COO).
The Assistant Project Director coordinates with the 21st Century Project Director and appropriate BGCTX staff to support program, fiscal, compliance, reporting, and operational requirements. The position provides day-to-day support to 21st Century staff and assists with coordination among participating school districts, campuses, families, community partners, and other program stakeholders.
KEY ROLES (Essential Job Requirements):
· Program Implementation & Site Support: Assist with the day-to-day implementation of the 21st Century program across funded sites in accordance with established directives, BGCTX expectations, grant objectives, and the Texas ACE Roadmap to High-Quality Out-of-School Time. Monitor site operations, support 21st Century staff, and promptly communicate operational or program concerns to the Project Director.
· Program Development & Student Engagement: Support the implementation of high-quality programs, activities, and services that complement the regular school day and promote academic achievement, enrichment, student engagement, and youth development. Monitor participation and program needs and communicate opportunities for improvement or additional support to the Project Director.
· Grant Compliance, Data & Reporting: Assist with the collection, review, and maintenance of required program documentation, attendance, performance data, and reports. Monitor assigned deadlines and promptly communicate missing documentation, data concerns, or other matters that could impact grant compliance or reporting..
· Budget & Fiscal Support: Assist with monitoring site and program expenditures, available balances, purchase needs, and supporting documentation in accordance with approved budgets, grant requirements, and BGCTX fiscal procedures. Promptly communicate fiscal questions, concerns, or anticipated needs to the 21st Century Project Director.
· School & Community Coordination: Support communication and coordination with participating campuses, school district personnel, service providers, and community partners regarding program implementation, participation, and operational needs. Assist the 21st Century Family Engagement Specialist and other appropriate staff with family engagement activities, community resources, mentors, volunteers, and Family Engagement Events.
· Staff Support & Communication: Provide day-to-day guidance and assistance to 21st Century staff as directed by the Project Director. Help communicate program expectations, deadlines, procedures,
· grant updates, and other pertinent information to appropriate staff and assist with training or technical support as needed.
· Training & Program Quality: Attend required 21st Century/Texas ACE trainings, webinars, conference calls, meetings, and Family Engagement Events. Monitor program activities and site operations to identify concerns, opportunities for improvement, and innovative approaches to programming that increase student engagement, participation, and program quality. Research and recommend new activities, resources, and programming strategies that align with student needs and grant objectives, and assist with implementing approved program enhancements and corrective actions.
ADDITIONAL RESPONSIBILITIES:
· Researches, recommends, and helps implement innovative programming.
· Maintain regular communication with the 21st Century Project Director regarding program operations, site needs, staffing concerns, performance, and grant-related matters.
· Assist with site visits, program observations, data collection, documentation, and follow-up activities.
· Support coordination among 21st Century staff, campuses, families, and community partners.
· Attend and support 21st Century Family Engagement Events and other grant-related activities, including occasional evenings and weekends.
· Assist with other 21st Century and BGCTX special events and initiatives as appropriate.
· Carry out directives from the 21st Century Project Director, established by the COO.
· Attend and support 21st Century Family Engagement Events and other grant-related activities, including occasional evenings and weekends.
· Perform other duties and special projects as assigned by the COO or BGCTX Leadership.
· Assist with special events and/or community events for the purpose of promoting/representing BGCTX.
SKILLS/KNOWLEDGE REQUIRED:
· Bachelor’s degree preferred; equivalent combination of education and relevant professional experience will be considered.
· Experience in after-school, youth development, education, grant-funded programming, or related program operations preferred.
· Experience with data collection, reporting, program implementation, or budget monitoring preferred.
· Ability to support multiple program sites, priorities, and deadlines.
· Ability to understand and follow grant requirements, program guidelines, reporting expectations, and organizational procedures.
· Strong organizational, analytical, and problem-solving skills.
· Excellent written, verbal, and interpersonal communication skills.
· Ability to work collaboratively with leadership, staff, school personnel, families, and community partners.
· Strong computer proficiency, including Microsoft Office, spreadsheets, databases, and electronic reporting systems.
· Ability to exercise sound judgment, maintain confidentiality, follow established directives, and appropriately elevate concerns.
· Knowledge of child development, family engagement, and working with youth and families from diverse backgrounds preferred.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
· Ability to lift up to 20 lbs.
· Ability to sit or stand for extended periods of time.
· Ability to work effectively using a computer for extended periods of time.
· Regular travel to program sites, campuses, meetings, trainings, and events may be required.
· Exposure to outdoor weather conditions and periods of loud or excessive noise when working at Club sites or BGCTX events.
