ASSISTANT PRODUCTION MANAGER

Arias Sign & Design is looking for a motivated, organized, and detail-oriented Assistant Production Manager to join our team. This position is ideal for someone with 1–2 years of experience in production, project coordination, purchasing, operations, signage, construction, or a related field who is ready to grow their career in production management.

The ideal candidate is a natural problem solver, highly organized, detail-oriented, and proactive. This person must be comfortable managing multiple priorities, communicating with different department leaders and vendors, tracking materials and purchase orders, and following projects through from planning to completion.

This is a fast-paced position where initiative, accountability, communication, and follow-through are essential.

POSITION DETAILS

  • Position: Assistant Production Manager
  • Experience: 1–2 years preferred
  • Employment: Full-time, in-person
  • Schedule: Six days per week
  • Additional overtime: Required as needed based on project demands
  • Weekends: Required

  • Travel: May be required depending on project needs

RESPONSIBILITIES

  • Assist the Production Manager with procurement, cross-department liaison, and managing projects from production through completion.
  • Take initiative to identify problems, gather information, communicate with the appropriate people, and help develop solutions before issues impact production or installation schedules.
  • Communicate and coordinate with Department leaders as needed.
  • Own Project Scheduling & Deadlines
  • Assist with production scheduling and prioritization of projects based on deadlines, materials, manpower, and installation requirements.
  • Oversee all Production purchase orders including, creating, processing, tracking, and maintaining.
  • Assist with purchasing materials, supplies, hardware, and other items required for production and installation.
  • Communicate with vendors regarding pricing, availability, lead times, orders, deliveries, and issues.
  • Negotiate pricing, delivery schedules, and purchasing terms when appropriate.
  • Track ordered materials and follow up with vendors to ensure materials arrive when needed.
  • Maintain accurate records of purchases, orders, deliveries, and project information.
  • Review project information and production requirements for accuracy and completeness.
  • Own Production Issue Identification & Resolution
  • Help coordinate materials and information between departments to keep projects moving efficiently.
  • Assist with inventory management and maintaining accurate material records.
  • Use CRM and company software to update project information, track tasks, and maintain organized records.
  • Maintain organized digital files, spreadsheets, purchase orders, and project documentation.
  • Assist with resolving vendor, material, scheduling, and production issues.
  • Follow up consistently on outstanding tasks, materials, information, and deadlines.
  • Support the Production Manager and leadership team with day-to-day production needs.
  • Take ownership of assigned responsibilities and follow tasks through to completion.
  • Perform other duties as needed to support the production team and overall success of the company.

REQUIRED QUALIFICATIONS

  • 1–2 years of relevant experience in production, operations, purchasing, project coordination, construction, signage, or a related field.
  • Strong organizational and time-management skills.
  • Exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Natural problem-solving ability.
  • Ability to prioritize multiple projects and deadlines.
  • Ability to take initiative and work independently.
  • Ability to follow through without constant supervision.
  • Comfortable communicating with vendors, coworkers, management, and multiple departments.

  • Proficient with Microsoft Office, including Excel, Word, and Outlook.
  • Comfortable working with spreadsheets, data entry, tracking systems, and digital documentation.
  • Experience with CRM software such as Zoho, SquareCoil, or similar platforms.
  • Experience creating, processing, or tracking purchase orders preferred.
  • Experience with purchasing and vendor communication preferred.
  • Strong computer and technology skills.
  • Ability to learn new software and company systems quickly.

COMMUNICATION & OWNERSHIP

The Assistant Production Manager is expected to take ownership of communication and coordination across departments.

You will be responsible for proactively connecting with the appropriate people to obtain information, resolve issues, coordinate materials, and keep projects moving. You should never assume that someone else will catch a problem or provide information that you need.

You will regularly communicate with Designers, Marketing, Fabrication Manager, Production Manager, CEO, Accounting, Assistant Project Managers, Installers, Fabrication Team Members, Vendors, and other team members as necessary.

When a problem arises, your responsibility is to identify it, gather the necessary information, communicate with the right people, help determine a solution, and follow through until the issue is resolved.

SCHEDULE & WORK ENVIRONMENT

This is a full-time, in-person position requiring six days per week, with additional overtime and weekend work as necessary based on project schedules and company needs.

The Assistant Production Manager must be comfortable working in a fast-paced environment where deadlines are important and priorities may change throughout the day.
