Position Summary

Provide oversight and quality control of the undergraduate packaging process, as well as guidance and solutions for the financial aid office scholarship initiatives, which include but are not limited to endowed/annual institutional funds, state grant programs, Federal Pell Grant and outside awards.

Duties and Responsibilities

  • Manage the undergraduate student packaging and perform quality control measures by reviewing financial aid offers to confirm compliance with packaging policy and student eligibility criteria.
  • Coordinates the review of unusual or special circumstance requests with the financial aid committee to ensure compliance with federal, state and institutional regulations and reporting changes to the federal processor.
  • Oversee the institutional endowed/annual scholarships programs in conjunction with the appropriate offices (advancement, financial and admissions) and departmental faculty. Maintain compliance with scholarship guidelines, as well as federal, state and institutional regulations.
  • Coordinates the annual scholarship summit that determines scholarship amounts available to award and the reconciliation of funds provided to students.
  • Manages the state of Indiana grant programs ensuring appropriate awarding to eligible students by the financial aid team. Corresponds with the Indiana Commission for Higher Education on eligibility questions, reconciliation of funded awards and other required reporting elements.
  • Administers the Federal Pell Grant program, including ensuring awarding to eligible students, reporting disbursements to U.S. Department of Education, and completing monthly reconciliation in conjunction with student accounts office.
  • Oversee the awarding of outside scholarships and special programs like Lilly Scholars to ensure compliance with scholarship guidelines, as well as reporting to appropriate agencies and the student accounts office.
  • Counsel both prospective and current students, as well as their parent(s) regarding the financial aid process from planning to applying all the way through graduation and loan repayment.
  • Package financial aid for current undergraduate students eligible for endowed/annual scholarships according to university policy and federal/state regulations.

o Evaluate a student's need & merit for grant & scholarship assistance.

o Process documents that confirm a student's financial aid eligibility to ensure accuracy and compliance.

o Conduct professional judgment decisions due to special or unusual circumstances.

  • Assist with telephone calls and walk-in inquiries by providing in-depth information on available aid programs, application procedures, deadlines, and eligibility criteria.
  • Perform all work activities in a manner that holds to university foundational beliefs, maintains compliance with federal, state & institutional policies, while serving the student, parent(s) & colleagues.

Supervisory Responsibility

Oversees FA Counselors when Executive Director is unavailable.

Typical Qualifications

Education and Experience:

REQUIRED: Bachelor's degree or equivalent work experience

PREFERRED: 5 years of relevant work experience in financial aid

Certifications, Licenses, Registrations:

REQUIRED: None

PREFERRED: Financial Aid Administrator Certification or NASFAA credentials are beneficial

Skills & Competencies:

REQUIRED: Excellent written and oral communication skills; ability to take initiative and show creativity in problem resolution; strong computer and technical skills

PREFERRED: None

Special Requirements:

Occasional travel for training and conferences
