Description

Elmira College is a private liberal arts College located in the Finger Lakes region of New York. Elmira College was the first college to offer a comprehensive curriculum for women, and is home of the Center for Mark Twain Studies. We are seeking an Assistant Director to join the Enrollment team.

The Assistant Director of Visit Experience and Enrollment Operations is responsible for coordinating admissions visit programs, enrollment processing, and recruitment events. The AD will supervise student staff. The position works collaboratively with campus partners to ensure prospective students and their families receive a welcoming, well-organized visit experience and that enrollment records are processed accurately and efficiently. This role also supports regulatory compliance, operational planning, and the ongoing improvement of Admissions Office processes and systems.

ESSENTIAL DUTIES & RESPONSIBILITIES

Admissions Visits, Events, and Experience Operations

  • Oversees end-to-end planning, coordination, execution, and evaluation of admissions visits, tours, and recruitment events
  • Serves as the primary operational lead for individual visits, group visits, special tours, and large-scale admissions events
  • Coordinates visit logistics, staffing, scheduling, space usage, materials, and on-site execution
  • Manages visit and tour scheduling, including counselor and student tour guide assignments
  • Supports the development and maintenance of visit and event standards to ensure a consistent and high-quality experience

Enrollment Operations & Records Management

  • Oversees the receipt, tracking, processing, and organization of application materials and official transcripts
  • Maintains accurate physical and digital records for admissions documents and materials
  • Manages admissions mail processing and document routing
  • Ensures accuracy, timeliness, and compliance in enrollment operations workflows
  • Monitors and maintains admissions supplies and materials inventory

SEVIS Compliance & International Student Processing

  • Serves as a Designated School Official (DSO) for F-1 students
  • Oversees pre-arrival SEVIS processing, including document verification and issuance of Forms I-20

Systems, Tools, and Process Development

  • Designs, documents, and maintains operational workflows, tracking tools, spreadsheets, manuals, and reference materials for admissions operations
  • Develops standardized processes to support visits, events, tours, and enrollment processing
  • Maintains institutional knowledge and continuity across admissions operations
  • Identifies opportunities for process improvement and operational efficiencies

Student Staff Supervision & Training

  • Supervises, trains, schedules, and supports Admissions Student Workers and Gold Key tour guides
  • Oversees daily student staffing coverage, substitutions, and performance expectations
  • Develops training materials and operational guidance for student staff
  • Serves as the primary point of contact for student staff questions and support

Front Desk & Office Operations

  • Oversees daily front desk operations and visitor reception
  • Manages Admissions phone lines and shared inboxes
  • Ensures consistent coverage, customer service standards, and office readiness

QUALIFICATIONS

  • Associate's degree (Bachelors Degree preferred)
  • At least two years of relevant experience in higher education admissions, enrollment operations, student services, event coordination, or a related field
  • Demonstrated ability to manage complex operations, multiple priorities, and cross-functional coordination
  • Strong organizational, communication, and problem-solving skills Experience supervising, training, or coordinating employees or student staff.

  • Eligibility to serve as a Designated School Official (DSO) and maintain SEVIS compliance
  • Proficiency with Microsoft Excel, Google Workspace, and operational tracking tools
  • Experience coordinating large-scale events or visit programs
  • Familiarity with Adobe Creative Suite (Photoshop, Illustrator, Adobe Express) for creating templates and materials

WORK LOCATION: 100% on-site (Elmira, NY)

COMPENSATION: $28.20 per hour

This position is benefit eligible.

STATUS: Non-Exempt (Hourly)
