Assistant Director of Finance
Location: New Haven, CT
Work Schedule: Onsite but flexible
Employment Type: Direct Hire but must have Non Profit Experience

Position Overview
We are seeking an experienced and detail-oriented Assistant Director of Finance to support the overall financial management of the organization. Reporting to the Director of Finance, this individual will assist with financial reporting, accounting operations, internal controls, budgeting, payroll, compliance, and strategic financial planning.
The ideal candidate will have a strong accounting and finance background, excellent leadership and communication skills, and the ability to balance strategic thinking with hands-on financial responsibilities.
Key Responsibilities
  • Assist the Director of Finance with the overall financial management of the organization.
  • Prepare and manage internal and external financial reporting.
  • Develop, implement, and enforce financial controls, policies, and procedures.
  • Identify opportunities for process improvements and implement best practices within the finance department.
  • Ensure compliance with applicable federal, state, and local laws and regulations related to finance and payroll, including required reporting and filings.
  • Partner with the Director of Finance and senior leadership to support the organization's financial goals and strategic growth.
  • Build and maintain relationships with external partners, including vendors, software providers, regulatory agencies, and financial service providers.
  • Perform daily accounting functions, including:
    • Accounts Payable and Accounts Receivable
    • Tracking donor-restricted funds and releases from restriction
    • Preparing bank deposits
    • Processing and recording online donations
    • Monitoring online banking activity
  • Perform monthly reconciliations of bank accounts, general ledger accounts, and financial systems to ensure the accuracy of financial information and donations.
  • Manage the bi-weekly payroll process through an online payroll system and support the onboarding of new employees.
  • Provide financial support to various student organizations for which the organization serves as a fiscal intermediary.
  • Assist with the annual budgeting process, including budget management within Sage software.
  • Participate in the year-end close process and annual external audit.
  • Manage financial relationships and transactions with various client entities.
  • Ensure endowment balances, earnings, and expense allocations are accurately tracked and recorded, including quarterly activity based on investment statements.
  • Provide financial support and guidance to staff and affiliated organizations as needed.
  • Perform other duties as assigned by the Director of Finance.
Qualifications
  • Minimum of 8 years of relevant finance or accounting experience, preferably within the nonprofit sector or have experience working in non profit organizations.
  • Strong knowledge of Generally Accepted Accounting Principles (GAAP).
  • Master's degree in Accounting, Finance, Business Administration, or a related field, or a minimum of 5 years of progressive managerial finance experience.
  • CPA, CMA, or CFA designation preferred.
  • Demonstrated leadership skills and the ability to foster a positive and productive work environment.
  • Experience partnering with senior leadership and supporting organizational financial strategy.
  • Strong oral and written communication skills.
  • Ability to identify process inefficiencies and internal control weaknesses and develop effective improvements.
  • Ability to work effectively in a highly diverse environment while maintaining confidentiality and providing excellent customer service.
  • Highly detail-oriented, organized, flexible, and able to learn quickly.
  • Ability to balance strategic thinking with strong attention to detail.
  • Ability to work independently as well as collaboratively within a team environment.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Experience with cloud-based ERP and financial systems, preferably Sage Intacct, Bill, and Blackbaud.
  • Experience accounting for endowment funds.
  • Experience tracking donor-restricted net assets.
