Description

Under the direction of the Director of Alumni and Constituent Engagement, the Assistant Director supports the Director to meet strategic goals of the division by building, managing and fostering working relationships with Hood alumni and other constituents and by providing program support.

Essential Duties include the following. Other duties may be assigned.

Communications and Alumni Outreach (50%)

  • Develop engagement strategies for most recent alumni; explore affinity groups and best practices for engagement.
  • Develop and coordinate (twice-yearly) online newsletter to inform alumni and constituents of campus activities and beyond. Develop, compile, write copy and publish online newsletters.
  • Manage and compile "Class News" and "In Memoriam" for the Hood Magazine. Coordinate with alumni Class.
  • Manage Hood Legacy Ring inventory.
  • Manage "Baby Dink" legacy program, reporting and inventory.
  • Manage and update alumni webpages/and alumni website in coordination with the office of marketing and communication. Serve as web manager for the alumni office.
  • Assist with content management of alumni social media accounts.
  • Create emails and other various solicitations for alumni relations events.
  • Monitor alumni relations email account.
  • Utilize software daily: EMMA mail server, Millennium, Adobe, Canva and Microsoft Office Suite/Outlook 365 to accomplish these tasks; prepare to transition to Slate.

Events and Reunion Weekend (40%)

  • Assist in developing, coordinating and planning activities/events for the annual Reunion Weekend; launch events for most recent (B.O.L.D.) alumni.
  • Contact appropriate Reunion vendors/partners to ensure proper execution of performance contracts and agreements.
  • Maintain Reunion Class Chair communication timeline, assisting assigned IA staff.
  • Coordinate with internal services and campus partners for staffing and communications to support Reunion Weekend.
  • In coordination with the Advancement Services Office, maintain records and information necessary for the coordination and implementation of a range of alumni events.
  • Utilize Zoom online platform to plan, set-up, execute and monitor alumni and constituent, Alumni Executive Board and Parent Advisory Council virtual events.

Campus Partnerships (10%)

  • Coordinate with athletics promotion/marketing of annual alumni/student games and other Blazer athletics events as needed.
  • Coordinate alumni outreach with enrollment; participate in recruitment events.
  • Participate in New Student Orientation.
  • Provide Commencement team with coordination of student Legacy communication.
  • Assist with coordination of Homecoming & Fall Family Weekend/Homecoming events sponsored by our office.

Supervisory Responsibilities

  • Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities may include training student employees, planning, assigning, and directing work, appraising performance, addressing complaints and resolving problems.

Candidates must have strong organizational skills and a proven ability to work collaboratively with partners across campus in support of Hood College's mission as a student-centered, liberal arts institution.

Education and/or Experience

Bachelors degree and a minimum of 2 - 4 years of work experience in an office setting. The commitment to teamwork, as well as the ability to work independently; high energy and ability to manage multiple projects simultaneously; very strong verbal and written communication skills a must; commitment to service orientation; strong interpersonal skills in influencing, motivating, and working diplomatically with alumni. Experience in Web site management a plus.

Language Skills

Strong command of the English language; strong oral and written communication skills. Ability to effectively provide information and positively respond to questions from both external and internal customers both in person and by phone. Ability to write routine reports and correspondence. Ability to speak effectively before groups of students, faculty, staff, and other constituencies.

Mathematical Skills

Proficient with statistical and financial concepts. Must have the ability to apply those concepts to tracking, projections, goal setting and interpreting reports. Must be able to draw conclusions from reports and make cost effective decisions regarding programs.

Technology Skills

Proficiency with Microsoft Office Suite products such as Co-Pilot, Word and Excel. Strong expertise and comfort in the use of the internet, e-mail and web site management (HTML). Experience with EMMA mail server and design ware Canva a plus.

Reasoning Ability

Ability to solve practical problems and deal with a number of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans. Ability to hypothesize, draw and support conclusions. Ability to work in theoretical arena and apply logic as appropriate.

Compensation

The salary for this position ranges from $40,500 to $45,000 depending on circumstances including an applicant's skills and qualifications, certain degrees and certifications, prior job experience, training, and other relevant factors. Hood College has provided a compensation range representing its good faith estimate of what the College may pay for the position at the time of posting. The College may ultimately pay more or less than the posted compensation range.
