The Role
The Assistant Community Manager supports collections-related tasks for all balances owed to the community and steps into the Community Manager role in their absence. You'll also work to attract prospective residents, present and lease apartment homes, and ensure a positive experience from move-in through move-out. Curb appeal and organizational support are part of the mix too.
This is a role for someone who is detail-oriented, collections-savvy, and genuinely good with people.
What You'll Be Responsible For
Financial & Collections
- Complete and save delinquency notes weekly by end of business Friday
- Maintain community delinquency at 0–1.5% of total billed income each month
- Bill NSF fees within 24 hours of notification; bill late fees daily per lease agreement
- File collection agency claims immediately for skips/evictions; file within 30 days of standard move-out unless a payment arrangement is secured
- Meet budgeted and other income expectations monthly
Operations & Compliance
- Complete all deposit accountings within 3 business days of vacancy with zero errors
- Distribute 3-Day Notices to Vacate for all full balances by the 5th of each month; save copies in resident files and attach to RealPage
- Establish evictions or Eviction Hold-Off Agreements by the 12th of each month
- File evictions on the 21st for residents who fail to meet hold-off agreement terms
- Attach all related documents to resident accounts in RealPage and maintain physical resident files
- Distribute Small Balance Notices via email, phone, text, and/or door notice by the 7th of each month
- Notify residents within 24 hours of any NSF payment; deliver 3-Day NTV if full balance is owed
- Complete Month End Close Out using the Month End Checklist by the 25th of each month
Leasing & Resident Experience
- Stay current on market conditions, trends, and product knowledge; ensure leasing staff is equally informed
- Show, lease, and move in prospective residents
- Update unit availability daily for accurate leasing staff reporting
- Maintain a calendar of scheduled move-ins; ensure all apartments are inspected and move-in ready
- Prepare and deliver all legal and formal notices in accordance with state law and company standards
- Handle resident concerns professionally; escalate pertinent issues to the Community Manager
- Maintain complete and accurate resident files
Administrative
- Input all cash receipts to appropriate income accounts in RealPage
- Prepare and generate deposit receipt reports in accordance with company standards
- Provide clerical and phone support
- Conduct lease audits — no more than 2 errors per lease file batch submitted for commissions
- Ensure all lease charges match RealPage entries
- Mail all refund checks within 30 days of vacancy; complete all write-offs following 30 days of vacancy
What We're Looking For
- 2+ years of residential property management experience required
- Strong collections experience
- Bilingual (English/Spanish) required
- Proficiency in Microsoft Office; RealPage experience strongly preferred
- Solid understanding of multifamily housing, Fair Housing, and security deposit law
- Basic accounting knowledge
- High school diploma or equivalent required; college degree a plus
- Must be available evenings and weekends as needed
- Ability to lift a minimum of 25 lbs.
