About the Role:

As the Assistant City Clerk - Boards and Commissions Coordinator, you will be responsible for coordinating and maintaining the Citys Boards and Commissions program while providing administrative and legislative support to City Council.

Key responsibilities include:

  • Manage the Citys Boards and Commissions application, appointment, and vacancy process.
  • Monitor pending appointments and upcoming vacancies and regularly communicate this information to City Council.
  • Serve as the administrator of Board Manager, the Citys Boards and Commissions software.
  • Maintain accurate appointment, vacancy, and member information in Board Manager and on the Citys website.
  • Prepare weekly reports regarding applications received and current vacancies.
  • Prepare monthly reports for City Council regarding current and upcoming vacancies.
  • Serve as a primary point of contact for Board and Committee Liaisons.
  • Communicate effectively with elected officials, City staff, applicants, board members, and citizens.
  • Administer Oaths of Office.
  • Track appointments to ensure accurate and timely reporting.
  • Prepare annual reporting for the North Carolina Secretary of States Office.
  • Prepare and publish professional meeting minutes, summaries, and recommendations for meetings attended, including City Council and committee meetings.
  • Adhere to Council directives and established policies and procedures when preparing ordinances, resolutions, public notices, correspondence, and related documents.
  • Ensure applicable statutory requirements are met.
  • Serve as Assistant Secretary to the Civil Service Board.
  • Provide Notary Public services.
  • Process and issue cemetery deeds.
  • Respond to information requests and inquiries from citizens, City staff, and outside agencies.
  • Conduct research and provide accurate information within the area of responsibility or appropriately refer inquiries to authorized departments.
  • Support agenda management and related legislative processes.

Within your first 90 days, you will be developing a strong understanding of the Citys processes, procedures, agenda management system, Board and Commissions software, and the roles relationships with City Council, board liaisons, staff, and community members.

Within your first year, you will be confidently managing the Boards and Commissions process, producing timely and accurate reports, maintaining reliable appointment and vacancy information, preparing professional minutes, and serving as a trusted resource for elected officials, staff, applicants, and community members.

  • Associates Degree with 1-3 years of professional office experience.
  • "OR" an equivalency: High School Diploma/GED with 5 or more years of professional office experience.
  • Experience answering multi-line telephone systems.
  • Experience writing professional meeting minutes.
  • Experience using Microsoft Word, Excel, and Outlook.
  • 1-3 years of customer care/customer service experience.

Preferred Qualifications:

  • Associates Degree or higher in Business Administration, Public Relations, or a closely related field.
