Assistant Business/HR Manager

PERFORMANCE RESPONSIBILITIES: Financial Functions

• Maintains all financial accounting and prepares reports that are the result of the accounting function.
• Provides accounting services essential to the preparation, administration, supervision, and control of the budget.
• Reports to the HR/Business Manager the amount for which warrants have been drawn during the preceding month, the accounts against which the warrants have been drawn, and the balance to the credit of each account.
• Prepares, enters, and records all disbursements of district funds and maintains records of all financial transactions.
• Prepares financial and business reports through Infinite Visions, Google Docs, PowerPoint, and/or Excel, keeping the HR/Business Manager fully informed on all aspects of the business and financial operations of the school department.
• Assumes the responsibility for supervision of the Business Office in the absence of the HR/Business Manager.
• Verifies all bank accounts monthly with ledgers.
• Prepares all financial and other reports as required by the state and federal governments.
• Submits school lunch reimbursements and yearly reports to DESE.
• Examines and audits all accounts and demands against the district.
• Provides documents and information to auditors as requested.
• Reviews payroll, accounts payable warrants, accounts receivable deposits, health insurance, and workers' compensation and unemployment reports for accuracy.
• Closes books and prepares end-of-year reports.
• Completes and submits annual 1099 forms and verifies W-2's for accuracy.
• Prepares quarterly assessment billing and submits invoices to cities and towns.
• Coordinates E-rate filings and documentation requirements.
• Manages and reconciles all POS systems and makes process recommendations when needed.
• Tracks, maintains, and submits school grants during each fiscal year.
• Transfers bank funds to appropriate accounts to cover expenditures, as necessary.
• Provides the Superintendent-Director and the School Committee with financial reports as necessary and as determined by the Superintendent-Director and/ HR/Business Manager.
• Provides assistance in developing annual budget projections and assists in developing budget presentations.
• Works in cooperation with the School Treasurer. HR Functions
• Assists with the development and maintenance of the Employee Handbook and Personnel Policies.
• Assists the Business/Human Resource Manager with ongoing spreadsheets, census, as well as staff salary schedules/spreadsheets.
• Assists with completing census and other personnel reports as needed.
• Performs other assignments as deemed necessary by the Superintendent- Director or the Business/Human Resources Manager.

PHYSICAL ENVIRONMENT: This position may require long periods of standing and sitting. The individual may be exposed to ultraviolet lights as are found in computer monitors and copying equipment. The individual may be exposed to various hazards in the building.

TERMS OF EMPLOYMENT: This is a full-time, twelve (12) month position; 37.5 hours/week Salary based on Administrative Assistant Salary Schedule Fringe benefits per Non-Union Personnel Policy
