Department: Business Office (Student Payment-Inquiry Resolution Information Team)

General Statement of Job

The Accounting Assistant assists with various functions in the Business (Student Payment-Inquiry Resolution Information Team) area of the Business Office. Responsible for applying CRC/CWA payments, compiling reports, maintaining and updating all cashier student publications and the cashier website information.

Specific Duties and Responsibilities

Essential Functions:

  • Assist in resolving student account issues that may prevent timely payment.
  • Respond to student inquiries promptly via phone and email.
  • Handle incoming calls related to correspondence, account questions, and past-due concerns.
  • Assists in preparing student payment arrangements.
  • Provide customer service to faculty, staff, students, and external entities such as government agencies and vendors.
  • Present cashier information during student orientations and training sessions.
  • Prepare PowerPoint presentations, as needed.
  • Post and apply CRC/CWA payments daily and ensure accuracy in CRC.
  • Apply CRC adjustments completed in the legacy system to the corresponding CRC accounts.
  • Facilitates end-of-the-month CRC activity with cashiers and the Accounts Receivable department.
  • Identifies discrepancies related to CRC functions and resolves issues or escalates as necessary.
  • Prepare monthly management reports related to student tuition.
  • Compile and update student publications, cashier instructional materials, and content for the cashier website, ensuring accuracy and compliance with procedures.
  • Reviews and routes Emergency Loans and related student emails to Cashiers.
  • Maintain, safeguard, and organize records through filing, retrieval, retention, storage, coding, updating, and purging.
  • Utilize various software applications (spreadsheets, databases, statistical and graphics tools) to create and format data and reports.
  • Communicate professionally with vendors, students, and employees through email and phone.
  • Assists and cross-trains between related positions within the department.
  • Travels throughout the college district, as needed.
  • Performs related duties as required.

Required Education and Experience

  • To qualify, one of the following must be met:
    • Associate's degree
    • A minimum of 60 earned college hours
  • At least one (1) year of accounting experience, preferred.
  • Experience in a higher education institution, preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Familiarity with business practices and willingness to become familiar with departmental goals.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to work independently as well as a team player within department and with others.
