Summary:
The Asset Lead''s main function is to lead the day-to-day work of the Asset team and ensure adherence to the distribution, tracking, inventory, and retrieval processes for all property obtained through the Learning Fund. This position serves as the first point of escalation for complex asset issues, supports team performance and development, and maintains the highest level of customer service both internally and externally.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Actively participate in the success of Epic Charter School.
- Adhere to laws, policies, procedures and ethical standards of Epic Charter School.
- Provide day-to-day leadership, direction, and support to Asset Specialists, ensuring consistent application of established processes and service standards.
- Serve as the primary escalation point for complex asset, order, account, inventory, return, vendor, and customer service issues; research concerns, determine appropriate resolutions, and ensure timely follow-through.
- Monitor team workflow, workload, service levels, and completion of assigned responsibilities; identify barriers and coordinate priorities to support efficient operations.
- Prepare, maintain, and communicate recurring and ad hoc reports related to asset distribution, retrieval, inventory, orders, account activity, team productivity, and operational trends.
- Review asset and inventory records for accuracy and completeness; support reconciliation efforts and identify discrepancies requiring corrective action.
- Oversee and support the return of Epic assets due back from students withdrawing from the program, including escalated retrieval issues.
- Support processing and oversight of educational item and hardware requests, including ordering, tracking, delivery, returns, and related customer support.
- Assist with invoice review and resolution of vendor or service-provider issues related to asset operations.
- Train and coach Asset Specialists on procedures, systems, customer service expectations, and changes to department processes.
- Conduct employee performance reviews and provide ongoing feedback, coaching, recognition, and performance documentation in coordination with department leadership.
- Assist with onboarding, training, attendance and performance management, and other supervisory responsibilities for assigned staff.
- Identify opportunities to improve workflows, reporting, documentation, controls, and customer service; recommend and help implement process improvements.
- Partner with department leadership and cross-functional teams to resolve operational issues and ensure asset processes support school needs.
- Maintain professional confidentiality and ensure team compliance with FERPA and applicable school policies.
- Perform other duties as assigned.
Supervisory Responsibilities:
- Directly supervises Asset Specialists.
- Responsibilities include assigning and monitoring work, providing coaching and training, addressing escalations, conducting employee performance reviews, supporting performance management, and partnering with department leadership on staffing and team development.
Education and/or Experience:
- High School Diploma or GED required. Associate''s or Bachelor''s degree preferred.
- Two or more years of experience working with asset management software, inventory, operations, customer service, collections, or a related field preferred; prior lead or supervisory experience preferred.

- Ability to compile, analyze, and communicate operational and performance data through clear and accurate reporting.

Language Skills:
- Ability to read, analyze, and interpret internal communications, financial reports, and legal documents.
- Ability to respond to common inquiries or complaints from families or members of the business community.
- Ability to communicate effectively with students, families and coworkers, both verbally and in writing.
Mathematical Skills:
- Basic math and accounting skills required.
Reasoning Ability:
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
Computer Skills:
- To perform this job successfully, an individual should have computer proficiency in Microsoft Office and the Google Suite with the ability to manage multiple computer screens.
- Must have a high aptitude to learn new software as necessary for the business operations of the school.
Certificates, Licenses, Registrations:
- Current driver''s license.
- Valid car insurance.
Other Qualifications:
- Must be able to pass a state-mandated background check after a conditional offer of employment is made.

Physical Demands:
While performing the duties of this position, the employee is regularly required to sit, communicate verbally, and listen. The employee is also occasionally required to stand, walk, reach, bend, and use their hands to handle, move, or inspect equipment and other assets.
The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.
Specific vision abilities required for this position include close vision, distance vision, and the ability to adjust focus.
