Job Purpose

The Asset Data Coordinator is responsible for maintaining the accuracy and organization of the PVC Asset Center database by creating, updating, and managing customer mechanical asset records. This role ensures asset information remains current as equipment is serviced, replaced, or modified, providing reliable data that supports operational efficiency, service delivery, and customer satisfaction.

Responsibilities

  • Maintain Asset Records: Review, update, and maintain accurate customer mechanical asset records within the PVC Asset Center Database, ensuring information reflects the latest equipment service, repairs, and replacements.
  • Research & Verify Data: Investigate discrepancies by reviewing work order history, manufacturer specifications, equipment photos, vendor documentation, and other available resources to ensure asset data accuracy.
  • Create New Asset Records: Build new asset records for newly installed or serviced equipment, including equipment details, location, identification tags, photos, preventative maintenance schedules, and consumable items, while retiring obsolete records as needed.
  • Reporting & Data Management: Prepare and maintain reports on equipment inventory, locations, condition ratings, and repair history to support internal decision-making and client reporting.
  • Support Operations Team: Assist the Solutions Team during peak workload periods by supporting work order management, vendor communications, and other operational activities as needed.

Requirements

  • Relevant Experience: One to three years of related experience required, including at least one year maintaining an asset database in a fast-paced, customer service-focused environment.
  • Technical Knowledge: Basic understanding of commercial HVAC, plumbing, and other mechanical equipment is required.

  • Computer Proficiency: Strong computer skills with experience using CRM systems, data entry, database management, and reporting tools.

  • Education: High school diploma or GED required; a one-year technical or vocational certificate is preferred.

  • Industry Familiarity: Working knowledge of commercial facility management concepts and mechanical asset tracking is preferred.
